NIE invites applications for the Executive position in the Physical Education & Sports Science Academic Group (PESS AG). This is a 2-year contract post.

Responsibilities

PESS General Office

• Finance and procurement duties including but not limited to obtaining quotations, checking availability of budget, issuing of purchase request on Ariba, ensuring that the vendors e-invoice on time, administrative support for budget exercise, etc.
• Making e-cat/non-e-cat purchases such as ordering stationery, top-up pantry supplies, catering for events, ordering of name cards, etc.
• Managing assets including liaising with staff to verify that the assets are in order, putting up the documents for condemnation of assets, etc.
• PA duties including but not limited to coordination of meetings, arrangement of lunch appointments with visitors for the AG Head, sending of festive greetings, collation of information as required by external departments, etc.
• Provide administrative support for matters relating to faculty affairs (e.g., report writing, checking of documents for contract renewal, promotion and tenure, new hires, and award nomination).
• Administration of external consultancies, staff development leave, staff and students claims, visitors and visiting scholars.
• Administration of Memorandum of Understanding (MOU).
• Collation of key performance indicators information from PESS faculty and updating management.
• Provide administrative support for visitors (e.g., liaising with visitors, arrange for facilities tour, prepare goodie bags).
• Maintenance relating to the General Office, e.g., raising Work Request, overseeing the maintenance of equipment such as shredder, copier etc.
• General office administrative duties including but not limited to events management, dispatch duty, sports facilities office duty, attend to enquiries at General Office counter, putting up maintenance requests, etc.
• Perform other duties assigned by PESS management.

Requirements

• A Polytechnic Diploma, preferably in Business Administration or Accountancy.
• Relevant administrative and finance/procurement experience especially Ariba knowledge will be an advantage.
• Relevant writing experience (e.g., report writing) will be an advantage.
• Excellent communication and interpersonal skills.
• Motivated, resourceful, and able to work independently and as a team player under pressure.
• Proficiency in MS Office - Word, Excel, and PowerPoint.
• Knowledge in web design and content marketing in social media will be an advantage.
• Familiarity with design software like Adobe Photoshop and Canva will be an advantage.
• Meticulous with information and numbers.

We are looking for a talented Finance Analyst - Inventory to join our team in Tuas South, Singapore. This will be following Hybrid work model.

In this role, you will make an impact in the following ways:

· Responsible for conducting cost analysis to support management in making operating decisions.

· Runs monthly cost updates and/or prepares standard cost data including annual cost role up.

· Maintains cost master; creates and maintains costing for new items.

· Develops and conducts basic cost audits and cost analysis.

· Analyzes cost variances (IPV (Invoice Price Variance/PPV (Purchase Price Variance) and monthly movements), determines root causes, and prepares recommendations and alternatives for improvements for review by supervisor.

· Identifies data analysis needs and works with appropriate departments to obtain the data on a regular basis.

· Prepares analysis and drafts presentation materials for review by supervisor.

· Assists in the inventory valuation process.

To be successful in this role you will need the following:

• Product Costing - Establishes total material costs to ensure compliance with policies and completeness of the bill of materials; develops labor and overhead rates to ensure inventory costed in compliance with company policies; analyses actual cost to understand variances to estimates to improve integrity of results.

Preferred Qualifications:

• College, university, or equivalent degree in Accounting, Finance or equivalent field or studying for accounting entry qualifications.
• Minimal relevant professional work experience in the field of study required.
• Not able to support cross-border relocation.
• Financial/ Month End Accounting
• Month end accounting for inventory related journals such as – FIFO (First In First Out), external suppliers’ transit, EnO (excess and obsolete) & NRV (Net realizable value) accruals, etc
• Month end accounting for GPL (Global Planning Logistics) Transportation – accruals, cross-charges, etc.
• Preparer for working file to review GPL Transportation financial performance (actual vs. forecast, actual vs. AOP) for internal review and Corp submission.
• ARM reconciliations
• Manage Indirect GRNI (Goods received not invoiced)– ensure work to clear down aged items.
• Other Tasks
• Preparer for inventory annual API exemption request
• Preparer and in charge for inventory costing (annual, half year and adhoc)
• Preparer for GPL Transportation forecast and AOP working files.
  Support statutory requests.
• Support submission of monthly cash forecast for Corp Treasury
• Business Partnering for Singapore GPL Transportation site (provides data, work with stakeholders for certain information used in forecast, etc)
• Develops and improves procedures.
• Support ad-hoc work as required.

• Organize and plan a design work schedule to meet deadlines.

• Ensure design, drawings, and all other deliverables meet the requirements and specifications.

• Oversee design preparation are efficient, well-coordinated, practical, and constructible.

• Prepare and submit shop drawings according to project specifications, ensure the design drawings are following the company design guidelines and structural calculations and building integrity.

• Work with the project team, sub-contractor, supplier, and factory team to ensure works are on schedule.

Requirement

• Diploma in Architecture, Civil Engineering, Mechanical, Mechatronics, or higher qualifications.

• 3 years experience in the design of window & door, curtain wall, claddings, etc.

• Familiar with Autocad drafting, 3D software.

• Energetic, matured, creative, and innovative, able to work under pressure with minimum supervision.

• Bilingual is preferred.
