Accounts Executive (AP/AR) - Hong Kong Conglomerate

6 months renewable contract

Salary: $4200 max

5 days work week

Job Scope:

Accounts Receivable (AR)

Generate invoices and account statements including monthly aging reports

Process monthly AR intercompany invoices transferred from GL intercompany billing module

System entry into AR Module and maintain proper records and filing

Produce monthly financial and management reports

Investigate and resolve any enquiries relating to AR

Assist in general financial management and analysis

Provide support and implement improvements in system, processes and controls

Backup team mates who are on leave, for urgent transactions.

Accounts Payable (AP)

Process monthly AP intercompany invoices transferred from GL intercompany billing module

Check vendor's invoices including liaison with respective parties on issues encountered and resolved it amicably.

Execute payment promptly upon instructions received from internal stakeholders. Follow up closely to ensure payments are duly approved by bank authorisers and processed by bank.

Check bank balances to ensure funds are sufficient before process payments. Alert the relevant parties concerned to top up funds when needed.

Provide bank advice and supporting documents to internal stakeholders upon request including attending to queries from banks.

Perform accounting reconciliations including monitoring of monthly Accounts Payable (AP) aging

System entry into AP Module on timely manner including posting of AP transactions from IMOS system to Oracle and maintain proper records and filing

Investigate and resolve any enquiries relating to AP

Provide support and implement improvements in system, processes and controls

Backup team mates who are on leave, for urgent payments & transactions posting.

Job Role & Responsibilities

• The responsibility to support and gradually undertake the entire on-boarding process for new employees is a fundamental part of this role. In addition, the role requires hands in involvement to meeting, interviewing and inducting new employees to better achieve a successful long term fit in the company.
• The responsibility to accurately and efficiently manage and maintain overall employee database records in information systems is expected. Also the incumbent will help produce up to date HR metrics and key indicators to support management decision making and direction.
• By extension, this role supports the entire off-boarding work processes whilst maintaining and adhering to statutory requirements, existing HR policy and practices and TAFEP guidelines.
• The administration of payroll processing ie Attendance checking, incentive payment verification, OT claims, and allowances, etc will be fundamental in this role to better help understand overall daily HR activities and demand across various school locations.
• The role requires the person to be well informed at all times of current and new MoM regulations, Statutory Acts & legislations. Such information has direct impact over company policies and reporting and shall determine how employees’ welfare, benefits and compensation is devised.
• As part of the team, this role supports ongoing and new staff welfare and activities with an objective to achieve best in class work life balance and employee satisfaction standards in the sector.

Job Requirements

• The ideal candidate must possess at least a Diploma in HRM / HRD / Business Administration from a recognised institution.
• The candidate should also possess excellent organizational skills with an acute ability to prioritize and execute important assignments and projects.
• The candidate must be a self-driven individual, fiercely independent and objective to assignments whilst able to work well in a team setting to meet collective departmental goals and targets.
• Proficiency in office software literacy ie MS Office Suite, Adobe Suite etc.
• A sound working knowledge and competency in operating an HRIS with an excellent grasp of Singapore employment and related acts, will be much preferred.
