• Report to the Project Manager and keep him updated on all activities.
• Coordinate with the Area and Regional Sales Managers on orders and specification details, then prepare and generate purchase orders in SAP system to Head Office.
• Check and prepare contracts and contract cost calculations for approval.
• Prepare and issue order confirmations to customers.
• Prepare and issue purchase orders to suppliers.
• Monitor and follow-up on customers’ payments.
• Monitor and follow-up with Head Office on engine shipment documentations and engine delivery schedule to ensure prompt delivery according to contract requirements.
• Check and ensure no discrepancies in L/C payment contracts and present proper documentations to Bank for payment.
• Prepare monthly sales report, statistics and update project list.
• Assist to set up project's time-line for projects and work as a team with Technical, Parts and Service Department to complete the projects assigned.
• Coordinate with Sales, Application/Tsalesechnical and Parts Department, Workshop and Technical Services on equipment delivery, product selection, purchasing and shipping schedules to meet project/order requests.
• Plan and forecast engines inventory and coordinate with other components/equipment suppliers to ensure they have sufficient stocks to meet sales forecast.
• Carry out any other work assigned by the Project Manager, including conferences and exhibitions.

Government Support Programmes

• Promote and market the government support programmes to assist employers in the hiring of Singaporeans and Permanent Residents in PMET roles and internship placement

· Handle the end-to end application and disbursement of grants.

1. Applications Management – handle enquires and processing of applications.

2. Onboarding Management – handle enquires; generation of Letter of Offer; onboarding of companies and trainees to the programme.

3. Database Management – handle enquires; capture of data; ensure data quality and generation of management reports.

4. Claims Management – handle enquires and processing of claims.

5. Feedback Management – handle enquires; feedback/complaints; investigate and follow through with companies.

6. Review Management – handle enquires; review documentations; investigate and identify discrepancies and follow through with companies.

GENERAL ADMINISTRATION

· Work with various government agencies, training providers and industry associations

· Organise/Participate in job fairs to assist member companies in their hiring of Singaporeans and PRs

· Provide support to other ASMI events and activities as and when required

· Undertake special projects and ad-hoc duties as and when assigned

REQUIREMENTS

• At least a Polytechnic diploma with at least 2 – 3 years relevant experience
• Preferably with some experience in the administration of government schemes
• Preferably with some knowledge of government funding schemes
• Able to multi-task, comfortable with administrative work and is meticulous
• Good communication and interpersonal skills
• Resourceful and able to work independently or in teams
• Self-motivated individual with strong drive for results

• Experience in HR for construction / Process / Marine Sector is an advantage
