Reports to: Managing Director - APAC

Stratacache Asia Pacific is looking for an Executive assistant to perform a variety of administrative tasks and support the MD APAC. In this role you will be responsible in managing the calendars, making travel arrangements, and preparing expense reports while being the first point of contact between employees and the MD APAC. You will be contributing to the efficiency of the business by providing personalised and timely support to the MD APAC.

Roles and responsibilities:

• Assists the MD – APAC with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailel travel plans, itineraries and agendas and compiling documents for meetings.
• Communicates with the general staff on the MD - APAC behalf and coordinates logistics with high-level meetings both internally and externally.
• Drafts reports, letters of solicitation, proposals; prepares and coordinates verbal and written communication with internal & external stakeholders.
• Screen incoming inquiries, visitors and correspondence and route accordingly.
• Manage complex administration work requiring use of independent judgement and initiative.
• Welcome guests and customers by greeting them, in person or on the telephone and answering & directing inquiries.
• Schedule conferences
• Maintain Confidentiality and protects operations by keeping information confidential.
• Contributes to team efforts by accomplishing related results as needed.

Qualifications & Requirements:

• Bachelor's degree required or equivalent work experience.
• 5 years of experience in a similar role
• Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
• Very strong interpersonal skills and the ability to build relationships with key stakeholders.

Procurement and Logistics Executive

Responsibilities:

• Source and negotiate for the most favourable costs with supplier.
• Assist in arranging of transport and prepare delivery and collection orders.
• Ensure supplies and finished goods are delivered timely and in good condition.
• Perform record-keeping, stock movement control of all materials, tools & kits.
• Account for inventory and assist in good warehousing practice.
• Assist in the issuance of materials & kits and return of damaged goods, if any.
• Update and maintain all relevant records in an organized manner.
• Build rapport and long-term relationship with vendor.
• Recommends substitution where a saving in cost or improved delivery will result.
• Solicits and analyses quotations for stock and non-stock items.
• Selects the most competitive source and negotiates for the best deal.
• Any other tasks and responsibilities as assigned from time to time.

Responsibilities

• Responsible for providing forward planning on materials stock plan
• Responsible for liaising with all extenal vendors on subcontracting job particularly on their PO, DO, shipment arrangment, delivery schedule and quality delivery service to production.
• Responsible for procuring production material based on master planning requirement for manufacturing and also support Production to procure consumable items.

Requirements

• Min Diploma in Engineering, Supply Chain or Business
• Min 2 years of working experience in Production planning, FIFO for material supply and good supplier communication and basic procurement SOP.
• Knowledge and experience using MRP or ERP system for planning and inventory control.
