Job Objective:

• To oversee the day-to-day administrative functions of the Accounts Payable in the Finance Department.

Accounts Payable:

• Manage the full spectrum of AP in the Finance Department.

• Obtain approval for supplier invoices to facilitate the payment process.

• Process monthly and weekly payments in a timely manner.

• Ensure all payments align with Company policies, procedures, and guidelines.

• Conduct follow-up actions to maintain a clean and up-to-date creditors aging record.

• Create and maintain debtor codes in the system.

• Oversee monthly forex management.

• Conduct month-end closing activities, including AP aging report, bank reconciliation, balance sheet schedules (Fixed Asset, accruals, deposits, prepayment, etc.), and journal adjustments.

• Assist in general Finance administrative duties and ad-hoc tasks as assigned by the Immediate Supervisor.

• Ensure timely and accurate processing of supplier invoices, matching them with supporting documents (3-way matching).

• Perform data entry of supplier invoices into the accounting system.

• Approve monthly staff claims.

• Administer and track suppliers' rebates (credit notes for payment offsets).

• Prepare AP reports for presentation to the Finance Manager and MD.

• Calculate quarterly sales commissions.

Accounts Receivables:

• Serve as backup for AR and assist in administrative processes when necessary.

Finance:

• Undertake quarterly GST filing.

• Assist in yearly closing and audit activities.

• Support any ad-hoc tasks as assigned regularly.

• Actively identify and recover overdue receivables with relevant stakeholders.

• Handle banker's guarantee application for projects.

• Manage company insurance (such as WICA, Public liability, Professional Indemnity, and Foreign worker medical, etc.) and project insurance.

• Process credit application forms and manage credit risk.

• Handle customer portal registration.

• Assist in yearly closing and audit activities.

• Plan cash out-flow and payment methods with the finance manager.

• Approve monthly staff claims.

• Work with other teams and customers to resolve any operational issues that might cause a delay in collections.

• Manage trade payment tools like Bank Guarantee & Letter of Credit and work with banks and customers for successful execution.

• Track cash flow, review payment disbursement, and administer financing facilities with the bank.

• Liaise with the local tax agent on the submission of tax returns and reporting of GST.

Accounts Payables:

• Oversee the AP Function.

• Serve as a backup for AP and assist in the payment approval process when necessary.

Finance:

• Assist in month-end financial closing - P/L, B/S, Cashflow forecast.

• Liaise with external accountants, auditors, tax agents, corporate secretaries, and bankers as and when necessary.

• Assist in any ad-hoc regular task given.

What You Will Be Doing

To work with the Manager, Student Admissions (SA) to manage matters pertaining to admissions of students, challenge examination (CEX) waiver, credit recognition, student admission systems and IT projects.

• Assist to develop and maintain an effective system for the planning of all administrative operations within the department.
• Assist to structure and maintain the department so as to facilitate effective performance by department staff through optimum delegationand clearly established individual responsibilities and objectives.
• To ensure department staff perform their work effectively towards meeting the established objectives.
• To assess and monitor work in progress and assess work performance of staff towards meeting the established objectives.
• To manage the application and admission process, including processing of applications, course offers and acceptance, and appeals forprogrammes.
• To manage the process of verifying applicants’ academic data with MOE, local polytechnics and autonomous universities.
• To manage the acceptance of offer process for all selected applicants.
• To manage the course fee payment of new students.
• To monitor accurate and up-to-date statistics on admissions.
• To assist in preparation of any adhoc statistics request by internal or external stakeholders.
• To assist in the review of policies and procedures pertaining to student admissions.
• To develop and maintain an effective and efficient system for application and admission, CEX waiver and credit recognition.
• To review admission systems regularly to incorporate new policies and requirements.
• To liaise with Campus IT Services department on all admissions and related system enhancements and IT projects.
• Co-ordinator role for department events/processes, school, etc.
• Assist with other tasks, duties as necessary or assigned.
• Assist with University-wide activities as necessary or assigned (e.g. graduation, invigilation, orientation, open house, etc.).

Job Requirements

• Degree Holder or GCE ‘A’ Level or Polytechnic Diploma with at least 5 years of working experience, preferably administrative.
• Has some supervisory working experience.
• Effectively bilingual in English and Chinese will be an advantage as the role will involve communication with international students from China.
• PC literate, with Microsoft Office Skills.
• Self-motivated, positive attitude and take initiative.
• A good team player with good interpersonal and communication skills.
• Customer service oriented, warm, friendly disposition
• Resourceful, creative and able to multi-task in a fast-paced environment.
