• Monitor bank receipts and balances for both entities.
• Process Accounts Payable (AP) payments via EFT through OCBC online banking, twice a month.
• Tabulate commissions for retail, corporate, and e-commerce sales for payroll.
• Monitor Accounts Receivable (AR) and Accounts Payable (AP) aging accounts.
• Oversee retail outlet receipts and maintain records for annual GTO audit by AA.
• Collect inward postage mail from the letterbox (relief role).

Daily Ad Hoc Tasks:

• Monitor employee attendance, including off days for retail staff, through HR system.
• Report on employee absences and manage attendance control.
• Process employee claims (bank transfer reimbursement).
• Verify vendor invoices and bills.
• Facilitate outward remittance to overseas vendors.
• Handle employee leave matters and related inquiries.
• Arrange for office supplies such as stationery, postage stamps, and pantry items (relief role).
• Record container parking fees, ensuring correct alignment with booking dates and fees.
• Manage M.O.M work pass applications and renewals.
• Assist with recruitment activities and create HR profiles for new hires.
• Answer phone calls (relief role).

Monthly Tasks:

• Manage payroll processing (on the 2nd of each calendar month).
• Submit CPF (Central Provident Fund), FWL (Foreign Worker Levy), government-paid leave, and levy waiver payments.
• Submit corporate tax and property tax instalments (via GIRO).
• Process hire-purchase and bank mortgage loan servicing.
• Handle director reimbursement for credit card expenses.
• Conduct bank reconciliations for SGD and USD accounts.
• Prepare monthly financial statements for internal business valuation.
• Process PRC (Professional Referral Card) commission payments to business partners.
• Oversee company insurance renewals (workmen compensation, foreign workers medical, fire, and motor insurance).
• Prepare and submit monthly financial reports.

Quarterly Tasks:

• Submit quarterly GST (Goods and Services Tax) filings.
• Renew season parking for office premises (for vehicles, vans, and motorbikes).

Yearly Tasks:

• Submit IR8A/IR21 forms for tax reporting.
• Process fixed asset depreciation, hire purchase interest, and mortgage loan interest.
• Coordinate and prepare the audit schedule for company and retail audits; manage audit confirmations.
• Manage the year-end closing of accounts and send soft copy reports to the tax agent.
• Attend to audit queries and resolve as needed.
• Handle government grants and financial assistance applications.

Other Ad-Hoc Duties:

• Perform any additional tasks as assigned by the Managing Director.

Requirements:

• Education: Diploma or degree in Accounting, Finance, Human Resources, or a related field.
• Experience: Minimum of 2-3 years in a similar role, with experience in both accounting and HR functions. Experience in retail or multi-entity organizations is a plus.
• Skills: Solid understanding of full set of accounts, payroll, and HR practices.
  • Experience with AUTOCOUNT accounting software and InfoTech HR management systems.
  • Strong attention to detail and accuracy in financial reporting.
  • Ability to manage multiple tasks and meet deadlines.
  • Excellent organizational and communication skills.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Proficiency in managing digital filing systems.
  • Knowledge of Singapore and Malaysia tax, CPF, and labour regulations is an advantage.

Roles & Responsibilities

• Manage the full spectrum of GST accounts and record transaction data accurately.
• Prepare monthly reconciliation, financial reporting, closing statements, and manage AR/AP.
• Reconcile POS system transactions, including cash, bank, and credit card payments.
• Update fixed assets and depreciation records in accounting software.
• Prepare and review supplier payments, ensuring compliance with credit terms.
• Track and verify expenses, cash claims, and card usage submitted by outlet heads.
• Generate and maintain payroll and salary reports.
• Update attendance records, leave schedules, overtime, etc.
• Stay updated on MOM guidelines and implement changes as required.
• Handle general administrative tasks and other ad-hoc duties as needed.

Requirements

• Diploma or Degree in Accounting or related field.
• 3-5 years’ experience managing full-spectrum accounts, preferably in F&B.
• Proficient in English and Mandarin to liaise with cross functional team.
• Meticulous, organized, and able to multi-task efficiently.
• Independent, collaborative, and a good team player.
• Proficient in Microsoft Office (Excel & Word).
• Familiarity with Xero accounting, Zealys payroll, ePOS systems, and credit card portals.
• 5-day work week, immediate or short-notice availability preferred.
• No quota for foreign staff who need for working pass.
