Job Description

• Perform daily accounting and finance duties, including receivables and payables processing, general ledger maintaince and bank reconciliation.
• Prepare and issue accurate invoices, customer statements and credit memos in a timely manner.
• Communicate professionally with customers and suppliers via phone, email or text writing while maintaining a positive relationship.
• Handle administrative duties

KEY DUTIES AND RESPONSIBILITIES

• Ensure transactions from Opera are posted correctly in Netsuite Accounting System.
• Perform daily reconciliation on Netsuite and Opera Trial Balance.
• Perform daily reconciliation on the Property Management System (PMS) and Point of Sales (POS).
• Assist in Credit Facility preparation including looking for trade references before granting the credit facility.
• Ensure invoices and Statement of Accounts (SOA) are issued and sent out timely.
• Ensure payments received are posted correctly in PMS and perform payment reconciliation when necessary.
• Work closely with hotel teams to ensure billings are correct and resolve any issues in a timely manner.
• Follow up daily on outstanding invoices and investigate/resolve any disputes with clients.
• Prepare recurring inter-company billing and reconciliation.
• Provide weekly analysis and updates to Finance Manager(s) on status of AR Aging.
• Do a daily check on credit limits and send a follow up to clients for invoices that are due more than 30 days.
• Perform credit card reconciliations and resolve any reconciled items.
• Provide support to Finance Manager(s) or other Finance colleagues in their absence or whenever is necessary.
• Perform any other duties and responsibilities that may be reasonably assigned.

EDUCATION and EXPERIENCE

• Qualifications in Accountancy / Finance or equivalent.
• 2 years of experience in the hotel industry in related functions.

Principal Responsibilities (What does the job do?)

1. Perform document checks on Instruction (i.e., Board Resolution, Structured Form) for change of account signatories.

Primary Purpose

Responsible for a variety of book-keeping duties, such as checking of invoices, sending invoices for approval, posting of invoices to Accpac system, and timely payment of all hotel invoices and disbursements, month end journal posting, and maintain proper files for accounts payable section, and assists in auditing.

Core Responsibilities

• Audit and process all invoices. Ensure all invoices are attached with IPS, POC, and/or other supporting documents, like delivery orders, service reports, work orders, etc. as appropriate and are properly approved department head and general manager for payments before generating computer or manual cheques.
• To ensure hotel only pays for goods and services which are bona fide purchases. Prepare prompt and accurate allocations of all accounts payable on a timely basis for posting.
• Make payment of all invoices according to the credit terms granted by the supplier; make prompt payment for those invoices with early bird discounts.
• Check all expenses reports, bank payment requests, cash payment requests or auto-payments to ensure that supporting documents are sufficient.
• Regularly check those Giro payments in bank statements and follow up with the original invoices and prepare necessary payment vouchers for posting of the transactions to Accpac system.
• Maintain a check log of all printed checks and all voided checks. Voided checks have to be signed off by the Accountant.
• Balance account payable ledger and reconcile with the General Ledger closing balance periodically and at month-end.

• Higher Nitec, Diploma in Accounting, LCCI Intermediate, or equivalent qualification.
• Minimum 1 year of experience in accounts receivable, accounts payable, or similar account-related functions.
• Proficiency in Microsoft Excel. Advanced skills are an advantage.
• Strong communications skills with confidence in handling customer interactions.
• Detail-oriented and meticulous in handling financial data.
• Ability to work effectively in a fast-paced environment.

Job Responsibilities:

• Experience with MYOB & Xero Accounting Software
• Check supplier’s invoice & seek approval before process payment.
• Prepare payment voucher and issue cheques
• Accounting report/Financial Statements Preparation/Bank Reconciliation
• Account Payable/Accounts Receivable
• Data entry
• Managing Emails and Calls
• Keeping track of all monthly payments and expenditures, including invoices and purchase orders
• Assist with Employees Grants & Claims
• Employees Petty Cash

Job Requirements:

• Diploma/Degree in Business/Administration/Accounting
• Familiar with Xero and MYOB would be advantage
• Basic accounting skills/knowledge
• Billingual (English & Chinese) - Director is chinese speaking and will require translation.
• At least 3 Year(s) of working experience
• Able to work 5 Days week

Roles & Responsibilities

Key Responsibilities:

- Assist in the preparation and maintenance of financial records, including accounts payable and receivable.

- Process invoices, expense reports, and other financial documents with accuracy.

- Reconcile bank statements and assist with month-end closing procedures.

- Support the finance team with KYC processes and administrative tasks.

- Help ensure compliance with company policies and accounting regulations.
