Statutory compliances

Annual Compliance management with statutory requirements (including applicable laws, Insurance, safety regulations, requirements of Ministry of Manpower, etc.)

GST compliance:

Supporting in preparation of GST working and submission of quarterly GST return.

Documentation review (e.g. Sign and stamp on delivery notes for zero rated sales)

HR

Documentation review of employees.

Leave and attendance record maintenance.

Administration

Processing of employee Visa application, Ministry of Manpower pass requirements, etc.

Inventory Management

Responsible to manage and review Inventory control in Zoho for receipts, issues, stock balance.

Review and monitoring of consistency between physical stock taking and accounting records.

Miscellaneous

Fixed Asset register including annual physical verification.

Maintenance and preparation of documentation including policies and processes.

MIS reporting as and when needed.

General

Liaising with internal stakeholders and external stakeholders such as Banks, Auditors, Recruitment Agencies, Vendors, etc.

• Carry out scheduling, assigning and follow up with the vendors and contractors on work progress to support the office maintenance and facilities.
• Manage and monitor office renovation projects, collaborating with vendors and contractors for successful completion.
• Plan and execute office systems, layouts, and safety equipment for the improvement of office productivity.
• Provide any ideas to reduce expenses or increase the effectiveness of the facilities and services.
• In charge of overall office administration, including yearly office and carpet cleaning.
• Support the Building Management FSM in organizing and carrying out the CERT exercise.
• Assist the Engineering and Production divisions with facility maintenance,
• Update and monitor preventive maintenance planned schedules.
• Oversee the quarterly/yearly renewal of all required building and facility inspections and permits.
• Maintaining accurate documentation and record.
• Administrative ad hoc tasks as assigned.

Requirements:

• Min GCE “N” Level or Higher.
• With 2-4 years of relevant working experience.
• Competent in MS Office Applications.
• Able to work independently and multi-tasking.
