Main Responsibilities:

· Coordinate services with office-related vendors and service providers, food and beverage vendors, furniture vendors, stationery vendors, etc

· Manage facilities and general office needs for the office

· Welcome visitors and assist them in connecting with their hosts

· Maintains the live event production calendar

· Schedules appointments and arranges all travel for company staff

· Act as concierge to coordinate and set-up meetings and events as requested, including catering, set-up, clean-up and coordination of all other logistics (AV needs, supplies)

· Ensure laptops, monitors, phones, Internet access and other devices are set up and activated for all employees at all times

Requirements:

· Bilingual in English and Mandarin to liaise with Chinese clients who can converse in Mandarin only

· Diploma in Business Administration / Management or equivalent

· Minimum 2 years of experience in administrative tasks

Personnel to be deployed at the following hours:

• Mondays to Friday : 8:00am to 5:00pm, inclusive of 1hr lunch break

Scope:

The Services required are set out as follows:

1. Running of errands,

2. Packing, receiving and sorting of office supplies, documents and collaterals,

3. Data entry using Microsoft excel and maintain accurate information of records,

The Personnel shall minimally have the following qualifications, skills

• Preferably have GCE O-Levels or with relevant administrative working experience.

Note:As the General office is located at Level 2 of the school premises and there is no lift access to Level 2, personnel must be able to perform daily activities such as climbing stairs.

Job Description & Requirements

• Greet and welcome guests as soon as they arrive at the office.
• Direct visitors to the appropriate person and meeting rooms.
• Serve beverages to guests as and when required.
• Answer, screen and forward incoming phone calls to appropriate person.
• Take and relay messages to the appropriate personnel.
• Provide information and answer queries from callers.
• Receive, sort and distribute daily incoming mail / deliveries.
• Sent outgoing mails and maintain postage record.
• To assist with purchasing of stamps and mailing of registered mail
• Manage and order office stationery, pantry supplies, First Aid boxes and keep an inventory of stock.
• Receive invoices and pass on to accounts department.
• Perform other clerical receptionist duties such as filing, photocopying, transcribing and laminating.
• Ensure reception area is tidy and neat at all time, with all necessary stationery and material (e.g. pens, forms and magazines)
• Ensure pantry area, photocopying copy area, meeting room is tidy and neat at all times.
• Liaising with vendor on maintenance servicing for office equipment. (eg. photocopier, water dispenser, coffee machine)
• Provide assistance in general administrative support as and when needed.
• Any other appropriate duties and responsibilities as assigned.

REQUIREMENT

GCE 'O' Level

2 years’ experience
