Core responsibilities:
Medical & Insurance
ยท Submit, follow up and summarize Work Injury Compensation/Personal Accident Claim & H&S Claim
ยท Attend MOM/WICA mediation Meeting
ยท Accompany injured worker to hospital for further treatment (when required)
ยท Administer worker medical claim disbursement
ยท Sourcing quotation for insurance policy for workers
Training
ยท Assist in booking of SOC/Core Trade courses for workers & raise payment voucher for Finance to make payment
ยท Assist in Training/ Core Trade and claiming from Government Grants (when required)
Workers Admin support
ยท Assist in worker recruitment & contractual issues (when required)
ยท Assist in purchase of immigration bond for workers
ยท Assist in Work Pass Application/ Renewal & Cancellation
ยท Assist in updating workersโ residential address
ยท Assist in preparing work pass collection at MOM
ยท Assist on Man-year (MYE) application (when required)
ยท Set up and maintain workersโ P-files
ยท Safekeeping workersโ Passports
ยท Manage the workers and prepare monthly report regarding workersโ strength, etc.
ยท Foreign Worker Levy Claim for workers on Home Leave/ Hospitalization Leave
ยท Carry out duties or ad hoc projects that may be assigned by the HR & Admin Executive / HR & Admin Manager / Management
Payroll Administration:
ยท Process workersโ wages, generate and distribute payslips
ยท Prepare inter-companiesโ billings
ยท Prepare Project Cost Analysis
ยท Promptly update workersโ particulars into database
ยท Issue advance payment to new workers & recover from payroll
ยท Arrange opening of bank accounts for new workers
ยท Upkeep workersโ Retention Record monthly
General workers administration
ยท Assist in Final settlement/Return of WP etc
ยท Arrangement on workers repatriation
ยท Arrange for returning of dormitory passes
ยท Update the Person-in-Charge every month for the latest workersโ list staying at dormitory for billing purposes
ยท Coordinate SOC/Medical checkup/Passport renewal etc
ยท Employment contract/Orientation/collect PPE/WP
ยท Arrange for printing of worker pass if necessary
ยท Update workersโ Training Record
ยท Handle other ad hoc assignment as required
Office Admin
- Manage the newspapers at the reception area and place at CEOโs desk
- Manage the tidiness at the reception area and meeting rooms
- Replenish office supplies such as milo, coffee, detergent, etc.
- Prepare beverages for meeting, if necessary
- Upkeep & maintain copier all-in-1 machine tidiness
Others
- Apply, Renew, Terminate Factory Permits & Dormitory Contracts
- Renew Builders & Contractors licenses
- Renew Vehicle Road Tax and Insurance
Job Specifications:
Minimum Educational Qualifications/ Experience required:
Certificate / Diploma in Business Admin/ HR, โAโ or โOโ levels: Min 2 years of relevant experience (Experience in Building / Construction / Property industry will be an added advantage)
Skills and Knowledge required:
ยท Good knowledge of Singapore labor Laws, Employment Act, statutory programs and MOM work permit procedure
ยท Be PC literate and particularly proficient in MS Office Applications including Excel and Words etc.
ยท Be a team player with good communication & interpersonal skills and capable of dealing people from different cultural and educational backgrounds
ยท Ability to maintain confidentiality
ยท Possess good interpersonal and communication skills with all levels of staff & workers
ยท Strong sense of commitment & urgency to meet tight deadlines
ยท Good organization skills
ยท Ability to handle multi-tasks and work within deadlines
ยท Knowledge of payroll software (such as HRIQ system) would be an added advantage
