Job Summary

Through strategic volunteer management, you will play a vital role in helping children from disadvantaged families gain access to opportunities and experiences that elevate their well-being and aspirations.

You will ensure a sustainable pipeline of volunteers who feel valued and cared for, oversee all aspects of their volunteer journey and development, and identify opportunities to convert organisational donors and stakeholders to volunteers. You will also evaluate and enhance current volunteer management policies and processes, in alignment with organisational directives.

Responsibilities:

1. Recruitment, Screening & Onboarding

• Develop recruitment strategy for new volunteers and re-activation strategy for passive volunteers
• Process new volunteer applications
• Orientate, match and deploy volunteers to various TYA clubs
• Run screening and background checks on potential volunteers
• Ensure smooth and proper on-boarding of new volunteers

2. Development, Training & Recognition

• Design and monitor volunteers’ training roadmap
• Nurture and recognise volunteers’ efforts
• Develop and mentor leaders within volunteer pool
• Conduct orientation and quarterly volunteer training and review sessions
• Communicate with volunteers at various milestones of the volunteers’ journey

3. Policy & Knowledge Management

• Evaluate and enhance current policies and processes
• Harness technology to streamline processes and provide actionable data
• Ensure volunteer database is well-maintained
• Provide necessary documentation for volunteer participation
• Gather and channel volunteer feedback to respective Teams

4. Other

• Facilitate collaboration with Learning & Development and Community Engagement teams in enhancing volunteers’ experience
• Support social workers in crises or case follow-up where needed
• Support general administration and coordination

Requirements

• Degree holder in any discipline
• 5 years of related experience
• Team player with strong interpersonal skills
• Good people management skills to work with people from diverse backgrounds (i.e. volunteers)
• Self-starter and able to contribute independently
• Strong analytical and organizational skills
• Excellent verbal and written communication skills
• Adept at Microsoft Office

Job Requirement

• A recognised Bachelor's Degree in Business, accountancy, finance, environmental, IT or equivalent.
• Proven experience as an training executive and experience in course design, implementation and evaluation of professional development programme
• Familiarity with learning platforms and social media
• Possess excellence writting skill, strong in communications, interpersonal and organisational abilities
• Capable of working independently and under time constraints

Responsibilities

• Manage full cycle of training programmes including e-lerning from need analysis, design and development, delivery and evaluation
• Select, engage and manage internal and external resources to develop and deliver effective training programme
• Obtain feedback from stakeholders on the effectiveness of the training programme to continually improve on achieving learning outcome
• Conduct professional courses or modules for specific programmes when required.
• Design and develop training content for the training programme

• Drive market research, benchmarking and keep up to date with best practices of learning interventions.

Job Description:

Lead and manage the tender bid process:

• Identify and research relevant tenders within our target market.
• Develop compelling and competitive bid proposals aligned with tender requirements.
• Manage all aspects of the bid submission process, ensuring timely and accurate delivery.
• Participate in pre-qualification meetings and presentations.

Prospect for new clients:

• Conduct in-depth market research to identify potential clients.
• Develop and implement targeted prospecting strategies.
• Build and nurture relationships with key decision-makers.
• Generate qualified leads and convert them into new business opportunities.

Maintain and strengthen existing client relationships:

• Provide ongoing support and service to existing clients.
• Identify and address client needs and concerns proactively.

• Negotiate contract renewals and ensure client satisfaction.

Contribute to the overall development and execution of the business development strategy:

• Analyze market trends and identify new growth opportunities.

• Proven track record of success in tender bid management.
• Excellent knowledge of procurement processes and tender requirements.
• Strong prospecting and negotiation skills.

Job Responsibilities

• Responsible for month-end closing and reconciliations.
• Handle and maintain full set of accounts, which include Accounts Payable (AP) and Accounts Receivable (AR) closing and reporting.
• Process invoices in a timely manner and follow up with suppliers when required.
• Validate with supporting documents and posting of supplier invoices.
• Prepare payment voucher for invoices posted and ensure timeliness in payment.
• Handle suppliers’ queries related to payables.
• Process tax payments.
• Monitor, clear and follow up on long outstanding balances.
• Provide administrative support during budget preparation.
• Participate in quarterly and annual audits.
• Reconcile inventories with third party warehouse system.
• Timely preparation and submission of GST returns, cash flow forecast and income tax.
• Processing of shipments in SAP shipments module.
• Any other ad-hoc tasks assigned by the supervisor

Requirements

• Diploma / Degree in Accountancy or an equivalent professional certification.
• Fresh graduates are welcome.
• Minimum 2 years of relevant working experience.
• Good knowledge of SAP software.
• Proficient in Microsoft Office (Excel, Word, and PowerPoint).
• Strong attention to details, accuracy in data entry and financial recordkeeping.
• Able to work independently.
• Good time management skills and ability to meet assigned deadlines in a fast pace working environment.
• Effective communication skills to liaise with internal and external stakeholders.
