The Administrative Assistant is responsible for managing a variety of administrative tasks in a fast-paced environment. This role includes providing excellent front-line customer service, coordinating events, handling documentation and expenditure monitoring, sourcing vendors, and supporting activities and events. The ideal candidate will be well-organized, proactive, and detail-oriented.
Key Responsibilities:
- Administrative Support:Provide general administrative assistance, ensuring smooth daily operations.
Maintain filing systems, manage office supplies, and perform other office-related tasks as needed.
- Customer Service:Serve as the first point of contact for clients, stakeholders, and visitors, answering inquiries in a professional and timely manner.
Respond to email correspondence and follow up as necessary to ensure customer satisfaction.
- Event Coordination:Coordinate, receive, and track applications for various events.
Assist in event logistics, preparation, and on-the-day support.
- Vendor Sourcing:Identify and source potential vendors in line with project, course, or event requirements.
Prepare and issue calls for quotations (RFQs) when necessary, ensuring best value for services and goods.
- Event and Activity Support:Provide administrative support during activities and events, ensuring that everything runs smoothly.
Assist in post-event follow-up, including documentation and feedback collection.
- Reporting:Prepare and submit monthly/weekly reports on administrative activities, expenditures, and event progress.
Provide updates to relevant departments or stakeholders.
- Other Duties:Undertake additional administrative duties as assigned to ensure the effective functioning of the department or office.
Qualifications & Skills:
- Proven experience in an administrative or assistant role.
- Strong organizational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to multitask and manage time effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Previous experience in event coordination is advantageous.
- Ability to work independently and as part of a team.
