Human Resource Duties
• Recruitment & Offboarding support:
o to assist in job advertisements, partnering with recruiter, screening resume and scheduling interviews
o coordinate onboarding processes for new hires, including documentation and orientation sessions
o Manage MOM Work Passes application and renewal
o Tracking of employee confirmation and issuance of confirmation letter
o Manage Offboarding of employees such as facilitate exit process, scheduling of exit interview.
• Employee Records Management
o Maintain, file and update employee records in HR systems and ensure accuracy and confidentiality
o Handle employee leave administration in E leave system, welfare and benefits
• Compliance & Reporting
o Maintain Employee handbook and HR Policies to ensure compliance with labour laws and company policies
o Prepare monthly HR reports such as headcount report, man-hour report, flexible benefit report, safety hours report and leave summaries.
• Employee Engagement
o Support in organizing staff engagement activities
o Support Employee Engagement Survey and Great Place to Work survey, follow up and improvement action
o Prepare Newsletter and HR announcement / memo
o Maintain Martin Brower social media accounts (LinkedIn)
o Maintain Martin Brower SharePoint (Intranet)
• Learning & Development
o Support learning and development programs (sourcing of relevant training programs)
Administrative Duties
• Procurement management (PO generation, vendor invoice for payment processing, etc).
o Manage and support procurement process for non trade purchase, ensuring compliance with company policies and procedures
o Oversee the administration and coordination of non-trade purchase requests, including vendor management and documentation
o facilitate and manage non-trade purchasing activities ensuring timely approvals and efficient processing
• Office Management
o Manage office supplies, stationery, courier services and ensure office environment is well maintained.
o Oversee coordination with cleaning staff, vendors and building maintenance team
o Yearly renewal of licences
o Support vendor onboarding and assist in registration and processing of vendors for GIRO payment system
• Meeting Coordination
o Schedule meetings, manage outlook calendars and assist in preparing meeting materials
o Arrange logistics for company events or training sessions
• General support:
o Provide administrative assistance to Senior Management or other department as needed
o Handle Guest and visitor registration, incoming calls, emails and correspondence professionally
• Travel Coordination
o Arrange domestic and international travel itineraries including flights, accommodations, transportation and visas
o Ensure compliance with the travel policy and budget guidelines
o Handle last-minute changes or cancellations and resolve travel-related issues promptly
• Expense Management
o Prepare and reconcile Management expense reports
o Track and maintain records of HR & Admin budgets and expenditures
Facility Duties
• Coordinate maintenance and repair of office facilities and equipment (aircon, pantry water filter, printer, lightings etc)
