RESPONSIBILITIES
- Program Operations Support
- Manage pre-matriculation and daily operational matters for Postgraduate Professional Programs
- Pre-matriculation duties include:
- Collaborates closely with Recruitment and Admission teams on application timeline to ensure sufficient turnaround time for pre-term administrative works.
- Gather pre-term administrative information from incoming students for logistics planning.
- Prepare all pre-matriculation documents for communication to incoming students.
- Plan and design orientation programme, including operational and logistical arrangements.
- Co-ordinate with Registrar Office on online matriculation and ID verification.
- Co-ordinate with relevant offices to arrange for presentation sessions, campus tours, etc. for Orientation
- Prepare welcome pack.
- Sources vendors who can provide the appropriate team building and leadership development programme suitable for students.
- Executes all orientation activities, gathers feedback from students via an online platform, and evaluates external vendors.
- Ensure compliance with program and Registrar policies and guidelines.
- Stakeholders' management
- Act as a liaison between the Deanery, Academic Director, faculty, staff, and students.
- Serves as the primary point of contact for students.
- Provide personalized attention to the high-profile executives enrolled in the programs.
- Address last-minute requests and follow-ups promptly, ensuring a high level of service standards.
- Alumni Relationship Building
- Recognize the potential high net worth and influential status of the students.
- Contribute to the development of strategies to engage and foster relationships with the alumni.
- Student's Financials
- Serves as point of contact to students for all tuition fee billing inquiries including grant administration from external parties
- Reviews the aging report, following up with reminders to students as needed.
- Resolves finance-related issues with Office of Finance
- Prepares budget submissions and track expenses for individual cost centers.
- Events Management
- Support Programme Manager in the administrative, operational, and logistics arrangement of events as and when required, e.g., Conferences/Workshops/Competitions/ Graduation Dinner/ Networking Events/Award Ceremony/Overseas segments
QUALIFICATIONS
- Bachelor's degree with at least three years of related experience or a diploma with at least 5 years of related experience.
- Prior experience relevant to this position or acquired in an educational setting will be advantageous.
- Analytical and meticulous with an eye for details.
- A good team player, independent and initiative.
- Ability to multi-task with good interpersonal and communication skills.
- Decisive, with ability to work well under pressure.
- IT savvy and proficient in MS Office Applications (Excel, Word, Powerpoint).
- Excellent written and spoken communication.
- Fluency in Mandarin would be an advantage.
- Able to work on weekends and weekday evenings when required.
