Principal Duties and Responsibilities

• Performs administrative work for the Home Personal Care (HPC) service, which may include, but are not limited to the following tasks:

  - Liaises with outsource partners supporting the HPC service, quality assurance, service improvement, monitoring of fulfilment rate, incident reporting and feedback management.

  - Processes the Eligibility Assessment (EA) forms and other relevant documents submitted by clinicians in a timely manner, and submits the materials to the outsource partners to ensure seamless communication.

  - Work closely with outsourced partners to provide patient information and facilitate the scheduling of visits.

  - Contacts HPC clients to address their queries or concerns, including complaints and feedback.

  - Maintains a database of all HPC referrals and admitted HPC clients.

  - Ensures billing reports for partners are accurate before payment.

  - Submits attendance information to the ILTC portal for service subvention claims.

  - Support the Executive in managing and implementing any changes to HPC's service requirements.

• Onboarding and admission of referred clients within service requirement, such as explaining to patient or next-of-kin and completing the following documentation:

  - Service Contract (physical and electronic versions) based on service type (as confirmed with primary nurse/ nurse clinician)

  - Financial counselling estimated fee, payment mode, collection of deposit, various healthcare subsidy scheme e.g. Means Testing, ILTC Drug Subsidy, Seniors Mobility Fund.

  - Consent for the use of Personal Data.

  - Timely and appropriate documentation in electronic medical record system pre-admission module, hardcopy storage, etc

  - Rostering and oversight of HPC staff schedules, fulfilment and performance.

  - Support other administrative services such as home medical, home therapy or home nursing, call centre, referral submission and surgical store when required.

• To undertake any other duties as requested by the said reporting officer.

• GCE ‘O' / ‘A' Levels or Diploma
• Minimum 3-year experience in administrative work. Working experience in Healthcare industry will be advantageous.

Job Description & Requirements

• Ensure timely, accurate month-end closing and financial reporting to Management
• Responsible for preparation and closing of monthly and annual financial statements
• Responsible for accounting processes and tasks (i.e.: AP & AR process, GL, account reconciliation, etc.)
• Coordinate and liaise with internal parties to support intercompany activities
• Support forecasting and budgeting exercise as per corporate guidelines
• Coordinate and liaise with external parties like external auditors, tax agents, corporate secretarial agents, local tax and government authorities where required
• Support and ensure compliance with all finance filing requirements, tax filing requirement, audits, procedures and forms both statutory and internal
• Assist in new processes and system implementation when required

Candidates are expected to:-

• Take lead in planning and deployment of marine resources;
• Take lead in enforcing marine crew discipline;
• Perform compliance checks to ensure personnel and safety at the base and onboard craft;
• Arrange for daily diesel orders and attend to bunker deliveries;
• Coordinate with Fleet Engineering team on the repair and maintenance status of harbour crafts and equipment;
• Update daily records of craft movements, deployment, and craft breakdowns;
• Perform regular checks and surveys on the status and upkeep of base equipment; and
• Assist Section Managers in operational assignments and projects.

The ideal candidate should preferably:-

• Possess at least a Diploma in Engineering (Marine) / Maritime Business / Business / Logistics and Supply Chain Management;
• Have good communication and interpersonal skills;
• Be able to remain calm and make logical decisions under stress and emergency situations;
• Be proficient in using computer and mobile device applications/systems;
• Be proficient in MS Office; and
• Be willing to perform shift work (Candidates will be entitled to shift and applicable allowances).

- Plan and prepare monthly activities schedule for clients.

- Engage with the clients during the activities.

- Pack and distribute food ration packages.

- Assess clients’ need and make necessary referrals to appropriate agencies and/or various care services.

- Manage and maintain all necessary documentations and paperwork of clients’ data and centre activities.

- Maintain the general cleanliness of the centre.

Roles & Responsibilities

Programme Support & Implementation

• Assist in planning and executing activities for the d’Klub Mentoring Programme.
• Ensure smooth centre management and operations.
• Provide mentorship support to programme participants.
• Assist in implementing programme curriculum and character-building lessons

Volunteer Management

• Assist in recruiting, training, and managing volunteers.
• Coordinate schedules and ensure adequate support for activities.

Programme Development

• Contribute to the creation of new mentoring initiatives and activities.
• Plan and coordinate outings, events, and other learning activities for children and families
• Evaluate programme effectiveness and recommend improvements.

Administrative Support

• Maintain accurate records, including participant and volunteer data.
• Prepare reports and documentation for programme activities.
• Support other department programmes as required.

Requirements

• Passion for community service and mentoring children.
• GCE A Level/ Diploma or equivalent in related fields (preferred).
• 1 year experience in programme coordination and working with children and youths.
• Strong organisational and administrative skills.
• Excellent interpersonal and communication abilities.

• Able to commit to a full workday on Saturdays.
