As a senior events executive, you will work closely with the Events Team but will be liaising and working with all departments to help plan events and deliver incredible events. To understand how the operations work, as part of your orientation, you will also spend some time cross training with the Service and Reception teams to better understand the club operations and how the teams interface.

RESPONSIBILITIES:

• Contribute to content and event ideas for all types of events from F&B promotions and themed parties to more unique events capturing the passions of our members
• Source decor, props, games, materials etc. required for events
• Support the preparation of decor elements needed for events
• Assist with the set-up, running and breakdown of events
• Manage RSVPs for events and greet members and guests warmly on the day of events
• Ensure highest level of member and guest experience
• Assist team with day-to-day operations and event planning
• Stay up to date with what's happening in Singapore and the region, to ensure we are constantly on the pulse and relevant
• There will be cross training with various departments (Service/Membership/Events) to better understand how teams interface
• From time-to-time support Marcoms team social media and marketing collaterals related to special projects such as large events
• Partnership and sponsorship sourcing for special projects and events as and when required
• Communicate effectively and collaborate with clients to understand their event goals and perspectives
• Plan and coordinate private events for members and corporate clients

REQUIREMENTS:

• 2+ years’ experience within a similar role is advantageous
• Regular working days are Monday to Friday but must be flexible to work some evenings and weekends based on events (time off in lieu will be provided)
• Team player with strong communication skills
• Strong interpersonal skills and a ‘can do’ attitude
• Strong proficiency in organization, problem solving and communication

JOB SCOPE

• Manages procurement coordination with vendors for logistics and transportation services, equipment like gas detectors and protective equipment, leased vehicles, laboratory related management services, air-freighting samples.
• 3rd party invoice processing
• Monitoring of sales pipelines, demand forecast
• Raise billings and manage billing accrual process
• Analysis of sales and billing performance
• To maintain sales contract and procurement contracts register
• Provide reminders to team 3 months ahead on expiring contracts pending for renewal
• Performing data entry duties with regards to metrics, sales figures and other key data
• Pull reports and information from Ecolab systems, providing data and guides to help the sales team
• Takes sales information and puts it into an easily readable format
• Coordinate meeting logistics, including reserving conference rooms, equipment setup, flight & hotel bookings and creation of presentations.
• Compile and edit presentation details from multiple people and sources
• Manage financial administrative tasks related to corporate card use and expenses and manage accurate processing of departmental invoices
• Exercise judgment and make decisions to promote smooth workflow and prioritization
• Ensure that internal and external client demands are met

Job Requirements:

• Degree holder, preferably in Business Administration, with minimum 5 years working experience.
• Process oriented, adaptable, reliable and flexible
• Proficient with Microsoft Excel and Powerpoint.
• Prior experience in sales administration and proficiency in Microsoft CRM, SAP systems is advantageous.

• Provide secretariate and administrative support to department and workgroups and Clinical committees, including the provision of secretariat support which will includes curating agenda and take minutes of the meetings.
• Assist in the Programme Management and monitoring support with dashboard visualization reporting to build data analytics capability in evaluating program effectiveness. Track and report on program progress, including key performance indicators and outcomes to ensure successful program execution.
• Supports the coordination and integration of new and existing clinical programmes into integrated care plans and services and standardized care protocols, with the intention to evolve into mainstream bundled care plans/models.
