Liaising with the Finance Manager to ensure that all the supporting attachments and documents are ready ahead of submissions (Professional Indemnity Insurance, payments, etc.)

Ad Hoc/Special Tasks - Assisting the MD on ad-hoc tasks that he may assign from time to time, e.g

• Preparation of documents for tender exercise, including main tender documents, corrigenda etc. up till selection
• Preparation of Project Interim Certificates, completion certificates

Spam Mail

• Checking the various Spam mailboxes (Unknown sender, spam mailbox, etc.) daily and identifying genuine project email correspondence and other legitimate email which had one into these boxes and moving them to the respective mailboxes. The number of such spam mail numbers a few hundred daily
• Assisting staff in searching for “lost mail

Apex System

• Updating staff particulars (new, old)
• Setting up of projects
• Maintaining/updating contact details of consultants, contractors, etc
• Ensuring the Apex system is used to manage the respective projects of the Company, including the assigning of relevant project numbers to each project, and the maintaining of the master list of projects on the Apex system
• Trouble-shooting when staff encounter problems related to Apex

ISO Audits – Assisting the Managing Director (in his capacity as Management Representative) regarding all matters related to our Company's QM

General Administration

• Answering of phone calls and attending to general enquiries form authorities, consultants, and other external parties and passing messages to staff.
• Checking of mailbox for letters
• Banking in of cheques
• Attending to visitors, delivery guys and other visitors
• Monitoring attendance of contract staff
• Upkeeping of the office premises and office equipment (rubbish disposal, cleaning)
• Working hours: Mon - Fri, 9:00am - 6:00pm

Responsibilities:

Conduct data analysis, focusing on actionable insights to inform resourcing policy decisions
Develop and implement resourcing policies and processes, in collaboration with senior management and business unit stakeholders
Oversee annual work planning and resource allocation cycle, to ensure coordination between various business units and effective organisation-level prioritisation
Continually refine policies and processes to drive a culture of learning and continuous improvement across the organisation

Requirements:
Experience in data management and data wrangling, to effectively steward multiple large datasets
Experience in data visualisation and dashboard development, to effectively organise and communicate data insights to different stakeholders
Strong project management and time management, able to manage multiple concurrent work streams and work effectively under time pressure
Good interpersonal skills, able to work effectively in teams and with multiple different stakeholders across the organisation
Relevant past experience in manpower planning and/or corporate planning, particularly in medium to large organisations, will be an advantage
Able to commit to at least 2 days of on-site work per week, subject to exigencies of work where on-site work is required

Degree & above with experience of less than 3 years

Job Scope:

• Outreach and engagement

• Engage and build positive relationships with identified students during and/or outside of curriculum hours;

• Engage and connect with higher needs students in community settings outside of school compounds;

• Engage, motivate and equip students with knowledge and skills to build socio-emotional skills and overcome life challenges;

• Conduct emotional management workshops for identified students to equip students with skills on how to better manage their emotions;

• Empower students with responsibilities and platforms to contribute back to the community/school and be meaningfully engaged;

• Work with school staff, in the crafting and implementation of the programme for high-needs students.

• Case management and family engagement

• Provide case planning, management and counselling support customised to needs of students and families;

• Plan and conduct family engagement and intervention such as family sessions, telephone contact or home visits aligned with student's needs.

• Assessment and student identification

• Observe and identify key needs of students;

• Usage of identification and screening tools to assess students needs, when required;

• To discuss needs and intervention plans of identified students with relevant school personnel (Eg. Student management team personnel and school leaders).

• School collaboration

• Provide relevant feedback and progress of students to school personnel;

• Provide support and consultation to school teachers on students needs and challenges.

• Social Work Intervention (for identified students)

• Equip students with socio-emotional skills that develop students' confidence, character and self-leadership through a hands-on, class-based programme;

• Enable students to translate their learning from the programme into multiple contexts including the home, class and community settings, thereby improving parent-child, teacher-student and peer relationships and sense of belonging to these multiple environments.

Requirements:

• Possess a social work degree (or have equivalent experience/qualifications in youth work) and
• Have at least 3 years of social work experience, possess skills related to rapport building, effective interpersonal interactions, problem-solving and programme planning and implementation.
• Experience in designing, planning and facilitating group guidance programmes for students.
• Competent in working with parents, school staff, community and stakeholders.

Contract Period: From 2 Jan 2025 to 31 Dec 2025

Working Arrangement:

• Tuesdays to Fridays : 10.00 a.m. to 5.00 p.m

• For school holidays, personnel will be notified by the Vice-principal on the actual working day.

Service not required on Saturdays, Sundays and gazetted public holidays.
