• The Project Admin performs all administrative functions concerned with the project.
• Assist Project Manager in updating various manpower schedule and submitting on various government web portal.
• Maintain project filing system for safe keeping important documents including but not limited to drawings,ISO documents, safety documents, correspondence with consultants and government authorities, original site staff attendance records and workers’ time cards.
• Provides administrative support to project Safety Officer in terms of maintaining, updating safety data base, safety training record and report and assist with safety submission.
• Maintains, updates, and distributes environmental/safety policies and procedures documentation.
• Raise acquisition stationery, IT software and hardware procurement. Maintain project fixed assets register and monitoring site stationery usage.
• Manage Photo Copy Machine and keep track of copier and pager usage by site staff and subcontractor staff. Provide monthly usage report to Project Manager.
• Consolidate site workers monthly payroll information from architecture and structure teams. Responsible for monthly worker’s salary compilation and submission.
• Provide basic IT and administrative support to HDB consultant and facilitate various site meeting.
• Compile and submit monthly site petty cash claim.
• Compose correspondence to company personnel and external agencies as required.
• Answers phones and refers calls to appropriate personnel or provides requested information.
• Perform adhoc tasks as assigned

Requirements

• Diploma in related field.
• At least 2 years’ experience as Site Admin or Safety Admin.
• Good command of English in order to liaise with relevant government agencies.
• Excellent verbal and written communication skills.

Requirements:

Job Responsibilities:

System and Records Integration

Under the direction of the RIM Regional Head:

• Track the progress of the archiving status and provide regular updates.
• Identify records owner for legacy records.
• Compile inventory list for handover from CS owner to UBS new owner. Track the handover status and provide updates.
• Work with stakeholders to ensure all physical records are archived in a timely manner.
• Ensure all records are entered into PRMS (Physical Records Management System).
• Process and ensure all outstanding invoices, prepayment invoice & removal fees are paid to vendor timely.
• Provide support for data migration to new integrated systems, such as assist IT team to identify and check on legacy records related to migration error.

RIM Coordinator Assistance

• Be the RIM Coordinator for APAC countries except HK, TW, AU and JP
• Provide support to RIM Coordinators so that they are enabled to execute all RIM Services related tasks locally.
• Provide PRMS training, such as how to process the requests.

End-User Assistance

• Respond to user requests for RIM-related training, such as how to arrange for new archive boxes for pickup, how to user the system, how to search for CAP ID (record type), how to properly label and send records boxes to off-site storage vendor, etc.

Legal Holds

Offsite Storage Inventory Administration
