The Project Coordinator shall assists Project Manager in oversees the planning, implementation, execute, monitor and track projects from beginning till end with specified deliverables.

The role of the Project Coordinator will be able to learn and equip with a full suite of comprehensive exposure and knowledge on Project management that covers proposal, product sourcing, timeline management, cost and resource control and quality management.

Job Purpose

The Project Coordinator (Site) shall assist and support the Senior Manager in coordinating and monitoring and arranging the site projects on-going, communicating between the office, workers, subcontractors and clients on site. Provide timely updates and suggestions to Senior Manager for timely implementations to ensure work efficiency.

Job Responsibilities

· Arrange and task ground staff with instruction from Office to support site executions on projects.

· Control and Maintains project schedules by monitoring project progress; coordinating activities; resolving problems in specific to manpower and materials / tools needed.

Key Responsibilities

- Report to the Project Director / Manager in Charged of the WTW system.

- Project Support: Provide technical expertise to oversee the design, development and construction of the WTW system.

- Interface with WTW system designer, vendors, fabricators including drawings reviews, sourcing equipment, cost control and monitoring, schedule monitoring and update.

- Project Execution: Oversee project implementation according to the requirements and objectives. This includes schedule monitoring, vendors sourcing and recommendation, purchase/ cost evaluation, resources allocation, attend to inquiries, clarifying technical details, supervising project execution, implementing corrective actions, conducting Factory Acceptance Tests, and finalizing as-built documentation.

Develop operating, maintenance and safety procedures for the WTW system.

Position Summary

The Project Manager’s main role is to ensure that the project objectives are met. He/ she is responsible for initiating, planning, overseeing, tracking, and closing of the project.

He/ she should develop close rapport with internal and external stakeholders, integrate with the different functions, and ensure that the project team is supported through the delivery of the project.

The candidate will be responsible for the following:

Possess Product & Process Knowledge

• Possess product knowledge to follow methodologies, processes, policies, tools & techniques required for project implementation
• Seek information from appropriate sources to respond to stakeholder inquiries in a timely way
• Keep abreast with developments and changes in project management
• Maintain high standards of work practices and ensure integrity, respect and confidentiality

Initiate Projects

• Develop realistic project plans based on assessments of project objectives, scope and potential interdependencies with other projects.
• Clarify scope of work and requirements. Highlight project risks, resource requirements, and operational considerations.
• Set-up and formalise the project
• Implement appropriate methodologies and tools to achieve desired outcomes
• Sourcing, liaising, and coordinating third-party suppliers

Plan & Manage Projects

• Plan & manage logistics and resource arrangements across the organisation's products and services
• Manage the organisation's learning calendar in line with business objectives
• Monitor performance of the projects based on business objectives and performance standards
• Drive cross-functional collaboration to facilitate development and implementation of projects
• Anticipate and manage project risk and mitigation plans
• Manage and lead project teams
• Review and communicate processes to ensure effectiveness of projects and address stakeholders’ feedback

Execute Projects

• Coordinate the completion of project deliverables within agreed cost, timescale and resources
• Communicate project deliverables and status
• Investigate urgent needs and demand, identify and address their root causes
• Ensure accurate, clear communication and documentation of project details, plans, milestones, status updates, reports, and other information from internal and external stakeholders.

Manage Stakeholders

• Identify stakeholder needs and engagement plan
• Build relationships and establish a collaborative culture where people with unique personalities and skills happily work together towards a unified goal
• Manage stakeholder expectations and feedback
• Employ interpersonal skills for conflict management and resolution of differences among stakeholders
• Follow processes to manage stakeholders’ conflict
• Negotiate with various departments to ensure adequate resources are available during various phases of the project

Closing The Project

• Ensure project deliverables are completed by the project team
• Measure performance of the projects based on business objectives and performance standards
• Formally close the project

Qualifications, Experience & Qualities:

• Bachelor’s degree in business or a related field
• Proficient in Microsoft Excel, Word, and PowerPoint
• Positive attitude and self-motivated
• Able to communicate effectively to all levels of employees and stakeholders, including management, clients, and vendors
• Able to think critically and resolve problems in a timely and creative manner
• Able to prioritize competing demands based on the situation and make a justified decision
• Ability to represent and manage stakeholders from different functions with different viewpoints
• Adaptability, determination and be able to thrive in a fast-paced environment, and resilience in difficult circumstances

Job Description

The candidate will be responsible for the following:

• Managing Client relationships

• Managing 4 to 5 design projects concurrently in Yards (including China)

• Providing overall leadership for the project while maintaining a focus on achieving targets efficiently

• Development and presentation of project plans, respond to Clients

• Liaison with the Shipyard, Classification society, Vendors & Clients

• Weekly progress reporting to Client & Management

Desired Profile

Essential requirements for this position are:

· Technical/ marketing skills for shipbuilding industry

· Experience in project management

· Excellent organizational and planning skills

· Strong Leadership and bilingual communication skills in English/ Mandarin

The candidate should have minimum 5 years’ experience in related role in ship design/ shipbuilding industry. Promising candidates with less experience may be considered as Trainees.

Responsibilities:

• Review and maintain Safety Management System, Safe Work Procedures, and Risk Assessments.
• Identify improvement areas and monitor implementation of recommended measures through site inspections and team engagement.
• Collaborate with teams to plan, implement, and maintain effective WSHE work plans.
• Investigate WSH infringements and industrial accidents, recommending preventive actions.
• Handle incident reporting, investigations, and propose corrective measures.
• Conduct internal audits to ensure compliance with ISO 9001, ISO 14001, ISO 45001 standards, GGB, ConSASS, and Bizsafe.
• Liaise with relevant authorities on WSH issues.

Requirements:

• Registered WSHO & ECO Officer
• At least 5 working experience in construction industry (design & build/industrial warehouse)
• Working experience with A1 or A2 construction company.
