Duties of Executive Assistant:

Job Requirement

• Possess degree/diploma (Mechanical Engineering / Electrical Engineering /Building/ Quantity Surveying) or similar
• Minimum 1 to 2 years of work experience in Construction industry
• Able to work on multiple projects, within simultaneous timeline
• Strong in Monitoring and Evaluation projects

Job duties:

• Preparation of plans, contracts, budgets and other documentation
• Quantity take off, cost estimate, contract administrations and support in tender exercise
• Documents preparation for sourcing of quotations for both pre and post tender stages
• Preparation of tender evaluation, conduct negotiation with subcontractors & suppliers
• Liaise with the Procurement Department to ensure that all material are procured in accordance with the project schedule
• To monitor and keep track of the project expenses and try to optimize the project profit.
• To attend progress meetings, technical meetings, material submission meetings and etc to capture all variation claims and potential variation works and time implication.
• Responsible for preparation and timely submission of claims, variation orders, budget & cost control and settlement of final account.
• To ensure a timely closure of all main contract and subcontract final accounts.
• Risk analysis evaluation
• Feasibility studies
• Any other adhoc duties when required.

Job Description:

• Review journal entries, accruals, and account reconciliations.
• Ensure financial statements are accurate each month, quarter, and year.
• Analyze property performance in terms of profitability, occupancy, lease renewals, and ROI; recommend ways to improve financial results.

• Coordinate with auditors for statutory audits.

• Review lease agreements and ensure accurate recording of lease transactions and rent adjustments.
• Collaborate with property managers on billing and collection of tenant payments.
• Ensure compliance with tax regulations, including GST and corporate income tax, in coordination with tax agents.
• Assist in preparing statutory records and filings with company secretaries and lawyers.
• Assess finance processes and suggest improvements.
• Handle ad-hoc projects as assigned.

Job Requirement:

• Bachelor’s degree in Accounting, Finance, or related field; CPA preferred.
• At least 5 years of experience in property management or real estate accounting, ideally in real estate private equity or REITs.
• Strong knowledge of IFRS.
• Familiarity with Singapore tax laws and property assessments is a plus.
• Proficient in property management systems (e.g., Yardi) is advantageous.
• Excellent analytical skills and attention to detail.
• Strong communication skills for collaboration with teams and stakeholders.
• Ability to prioritize tasks, work independently, and meet deadlines.
• Team player with good multitasking abilities who seeks solutions proactively.
• More experienced candidates may be considered for a Finance Manager role.
