Roles & Responsibilities

• Manage change order/ variation claim from subcontractors and prepare change order/ in support of variation order claims to client, and keeping track of all change orders.
• Work closely with Project teams/ various disciplines (Engineering, Construction, Procurement, Subcontractors, etc.) and coordinate the timely contract price adjustment/ claims including internal reviews/ approvals
• Manage full spectrum of respective subcontracting works, measurement/ bill of quantities, cost plus and adjustable items as per claim requirements.

• Ensures all POs and WOs and payments flow from procurement & subcontractor team into the Project Cost Code system

Job Description

The incumbent will provide support to the Department of Pharmacy, Faculty of Science.

Duties and responsibilities include, but are not limited to the following:

• Assist Head of Department (HoD) in establishing or renewing agreements, e.g. industrial partnerships, Memorandum of Understanding (MOU), Student Exchange Programme (SEP), attachment/internships, provision of services to third parties, professional membership for department, as well as onward processing for approvals and signing.
• Assist HoD in managing and processing donations and investments in the department.
• Raise quotations, invoices or purchase orders for general events/activities.
• Assist HoD in reviewing procurement documents and tenders and approving in the relevant systems.
• Collate and review annual budget calls, which include courses, preventive maintenance and repairs, equipment, domain projects, and events/activities.
• Collate and track budget expenditure and utilisation for department’s operating, general purpose, donation and self-financing funds.
• Assist HoD in preparing and responding to requests related to finance situation or information from other offices.
• Assist HoD in reviewing and approving travel requests and claims in CONCUR.
• Answer enquires from staff/students pertaining to finance policies and processes, and provide advice according to the needs of staff/students.

Qualifications

Academic qualification: Bachelor/Master’s in Science, Project Management, Finance, Business, and/or Accounting

• Past work experience managing projects involving corporate partnership and its associated finance matters
• Strong analytical and numerical skills
• Proficient in Microsoft Advance Excel, Word and PowerPoint
• Excellent communication skills in managing stakeholders and team
• Able to work independently and is proactive
