• Set out marketing plans and implementation action plans on the company's range of products with primary objective of retaining existing clients and penetrating new corporate relationships.
• Increasing market share and maximising profitability within framework of the company's overall strategic plan.
• Execute, Implement marketing plans and strategies.
• Coordinate properties viewing arrangement with current tenants and potential clients and showcase property features to potential clients.
• Prepares sales documents (quotation, service agreement and invoice) to be vetted by HOD before forwarding to clients. To follow up on timely payment from Client.
• Coordinate guests check in/0ut process with other relevant departments.
• Handles clients complaint and feedback. Target to resolve issues raised, with consultation with superior in order to maintain exceptional customer service and customer satisfaction
• Builds and maintains strong relationships with corporate or individual clients, travel agencies, an other key stakeholders to secure business partneship.
• Monitor market trends, other competitor activities.
• Update and monitor social medial platform and OTA/booking platforms. Digital marketing.
• Monitor and manages from inventory and prices to optimize occupancy and revenue
• Assists with operational exigencies and longer work hours may be required from time to time.

Job description

· Supplier invoices/credit note – data entry

· Payment – issuance of cheques/GIRO/TT

· AP/AR aging monitoring and reporting

· Update daily cash balance

· Process staff claims and prepare expenses analysis

· Maintain fixed asset register

· Handle day to day AP/AR functions

· Prepare monthly inter-co reconciliation and weekly sales report

· Process GST returns

Requirement

· Must possess min either Diploma/LCCI/ITE/Polytechnic graduates from Accountancy/Finance

· Min 3 years relevant working experience, preferably SME environment

· Good knowledge of simple accounting software (MYOB)

· Meticulous and able to work with minimum supervision

· Good communication skills

Job Description / Responsibilities:

• Manage full set of accounts, including invoicing, receipt updates, vendor invoice processing, payment arrangements, journal entries, inter-company charges, bank reconciliation, balance sheet schedules, fixed assets registers, and general ledger maintenance.
• Manage month-end closing process and ensure all month-end journals, AP, and AR sections are closed promptly.
• Perform monthly bank reconciliation.
• Preparation of Monthly Financial Statements for Management Reporting.
• Perform any other duties as assigned by the Senior Management.

• Assist in quarterly GST preparation, annual auditing and tax.

Job Requirement:

· Preferably Diploma or Degree in Business, Accounting, ACCA or equivalent with at least 3 years of relevant working experience

· Work experience in a CPA firm would be an added advantage

· Strong accounting, taxation and payroll knowledge

· Proficiency with Microsoft Office and accounting software e.g. MYOB

· Must be initiative, multi-tasking, work independently, hardworking and meets tight deadlines;

· Resourceful, self-driven, proactive, hardworking and meticulous with positive attitude.

· Good interpersonal, communication and ability to work under pressure;

· High degree of work commitment;

We are seeking a highly organized and detail-oriented Administrative Executive who will provide comprehensive administrative support to ensure the smooth operation of daily activities.

This role includes 80% general administrative duties and 20% secretarial duties supporting the General Manager.

The role involves significant minute-taking responsibilities, ensuring that meetings are well-documented with clear action points. The ideal candidate will possess strong organizational, multitasking, and communication skills, with the ability to handle confidential matters with discretion.

Key Responsibilities:

1. General Administrative Support (80%)

• Office Management: Oversee office operations to ensure an efficient working environment, including supply management, coordinating maintenance, and liaising with vendors.
• Documentation: Manage and maintain filing systems (both electronic and physical) for easy retrieval of information.
• Meeting Coordination: Organize internal and external meetings, prepare meeting materials, and coordinate logistical details.
• Minute Taking: Attend meetings, take clear and accurate minutes, and distribute them to relevant stakeholders promptly. Follow up on action items to ensure completion.
• Travel & Logistics: Arrange travel, accommodation, and itineraries for employees or visitors as needed.
• Correspondence: Handle incoming and outgoing communications such as emails, letters, and packages. Respond to routine inquiries and escalate urgent matters as necessary.
• Event Support: Assist in organizing company events, meetings, and team-building activities.
• Data Management: Maintain databases, spreadsheets, and internal tracking systems to ensure up-to-date and accurate data entry.

2. Secretary to the General Manager (20%)

• Calendar Management: Proactively manage the GM’s calendar by scheduling appointments, meetings, and engagements, ensuring no scheduling conflicts.
• Confidential Support: Handle sensitive information and maintain confidentiality in all communications related to the GM's office.
• Report Preparation: Assist in preparing reports, presentations, and documents for the GM’s meetings and engagements.
• Communication Liaison: Act as a point of contact between the GM and internal/external stakeholders, screening calls and managing requests efficiently.
• Meeting Coordination for GM: Arrange and prioritize meetings for the GM, including preparing agendas, coordinating logistical details, and taking minutes during GM-led meetings.
• Task Management: Assist the GM with follow-up tasks and ensure timely completion of action items from meetings and interactions.
