JOB OVERVIEW

The Guest Service cum Reservation Executive is responsible for all aspects of the reservation and operator role in day-to-day hotel operations, and assisting in hotel administration tasks related to Operations.

RESPONSIBILITIES (Guest Services):

· Responsible for all internal and external telephone, email, internet and ‘in person’ enquiries

· Working closely with Sales department to maximise revenue by converting enquiries, recognising business prospects and opportunities to upsell rooms and services, while preventing overbooking situations

· Follow up on any cancellation and processing of refunds, monitoring guest complains / feedback and drop-off trends to provide timely feedback to facilitate service improvement

· Exercise effective listening to capture relevant information and provide a premium experience for the guest

· Ensure all guest requests are effectively delivered to Housekeeping and Front Office, and that follow up is completed punctually to ensure guest expectations are met

· Liaise with all departments to ensure the best services is provided to our customers

· Process all guest check-ins and check-outs, verifying guest identity, form of payment, assigning room, and activating/ issuing room key

· Ensure rates match market codes, document exceptions

· Compile and review daily reports/ logs/ contingency lists

RESPONSIBILITIES (Reservation):

· Ensure all the phone calls and emails (group, reservation and enquiry) are attended promptly and professionally

· Receives guest requests then work with other departments to ensure requests are delivered

· Responsible for updating of all reservation information into property management system accurately and promptly, while following up with traces allocated to reservation team

· Responsible for checking arrival booking 1 day in advance to ensure that all reservation information and correspondences are accurate in system

· Perform prepayment if room reservations under non-refundable for travel agent or online travel agent

· Be familiar with the rate structure and offers, allotments, cancellation policy and other terms and conditions

· Logs all wake-up call requests and performs wake-up call services, if any

· Assist in any other duties when required

Your role:

• Interact with community members and customers in a professional, personable, and timely manner to grow and keep the community alive
• Work with the marketing, creative, and customer experience team to create high quality, engaging, relevant, and timely content
• Foster and strengthen new relationships with key influencers within the community
• Deploy social listening tools to monitor positive/negative comments and topic trends, and strive to boost engagement and resolve any potential conflicts that may affect brand reputation
• Generate comprehensive reports on overall community sentiment and notable trends and provide meaningful feedback

Requirements

• Minimum Diploma and above
• Prior experience in the marketing field will be an advantage

Job Description:

As an Events Executive, you will play a crucial role in planning, coordinating, and executing a variety of events that align with our company's goals and brand image. You will work closely with clients, vendors, and internal teams to ensure seamless event delivery from concept to completion.

Key Responsibilities:

• Plan and execute events, including conferences, product launches, corporate meetings, and dinner & dances, etc
• Liaise with clients to understand their event requirements and objectives.
• Coordinate with vendors and suppliers to ensure timely delivery of services and materials.
• Develop event concepts, themes, and timelines in collaboration with the team.
• Manage event budgets, negotiate contracts, and handle logistics.
• Oversee event setup, execution, and teardown, ensuring all aspects run smoothly.
• Conduct post-event evaluations to gather feedback and assess event success.

Requirements:

• Diploma or Degree in Event Management, Hospitality, Marketing, or a related field.
• Proven experience in event planning and execution.
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills.
• Ability to work under pressure and meet tight deadlines.
• Proficiency in design software such as Adobe Creative Suite (Illustrator, Photoshop, InDesign, Canva)
• Creative thinking and problem-solving abilities.
• Basic understanding of design principles and ability to create visually appealing event materials.

Sales consultant bridges the gap between businesses's problem and the technology solutions to it. Sales play a key role in the building of loyalty and trust between customer and business. • Prospecting & following up of sales inquiries.

• Identify and understand prospects' requirements

Telemarketing

• Cold calling to identify potential clients

• Answering incoming calls from prospective clients

• Operating telephone equipment, automatic dialling systems, and other telecommunications technologies.

• Set appointments with prospective customers based on our associates’ schedules

• Apply company established procedures and guidelines appropriately and follow detailed briefs to conduct campaign calls

• Keep records of calls, sales and useful information

• Communicate respectfully and politely with potential customers at all times

Basic Customer Support

• Clarifying client's queries; delegating to the appropriate support team

• Provide accurate, valid and complete information by using the right methods/tools

• Ad-hoc support to manager when assigned

• To maximize sales earnings and profitability by winning new clients, achieved by successful implementation of the sales plan.  On-going contribution to the continued improvement of the sales and marketing team through the development of documentation and processes that support short, medium and long term sales and marketing strategies.
• Required to market and sell IQ-EQ services and business development across Asia
• Win new business prospects by creating, refining and implementing Asia sales strategy.
• Manage and develop the new business sales process, procedures and related documentation.
• Lead relationships with third parties (lawyers, accountants, placement agents, financial advisers, valuation providers, bankers, etc.).
• Manage and refine marketing strategy including promotional activities such as mailshots and press releases.
• Represent IQ-EQ at industry seminars, networking events and conferences.

• Establish and foster effective relationships with new business prospects and industry contacts to strengthen IQ-EQs’ name and reputation within the industry.
• Facilitate an effective end-to-end lead generation engagement process when tendering for business.
• Contribute to the collection of market intelligence to ensure IQ-EQ has up-to-date data on potential target customer base and competitors.
• Maintain hands-on relationships with new clients until they are taken on by client services team.
• Act as the facilitator and coordinate work required from IQ-EQ by the client in the new business stage to ensure that it is successfully completed.
• Manage and complete work required by the client in the new business stage (including guidance through the fund-raising stage, interaction with fund formation lawyers, and assistance with fund documentation as required by the client).
• Develop and refine the sales function by mapping out sales-related processes/procedures and communicating these to the team.

Responsibilities:

Requirements:

• Diploma in Business Administration or equivalent.
• Council for Estate Agencies (CEA) certification is required.
• At least 2 – 3 years property sales experience.
