Due to the recent expansion of our operations, we are seeking an Administrative Executive / Assistant to support the Company’s operations.

Responsibilities

To primarily assist on administrative functions, which would include:

a) preparing insurance forms and agreements accurately

b) scanning, filing and printing of documents

c) maintain customer database

d) assist in preparation of payments to insurers and clients

e) liaising with insurance companies and clients on documentation matters

f) Assist with other administrative or ad-hoc matters when requested

The selected candidate is expected to be flexible on working locations, which could be in our office at West Coast, insurer’s office in the CBD area or “work from home”.

Requirements

o Minimum ‘O’ Level

o Preferably with at least 1 years working experience in administrative role

o Proficiency in Microsoft Office

o Ability to commence work immediately will be an added advantage

Duties and Responsibilities

• Maintain and ensure all conference rooms and pantries are clean, organized, and in good condition.
• Stock and organize amenities in conference rooms, ensuring they are available at all times.
• Report any defects in equipment, amenities, or conference room facilities to the relevant departments.
• Escort clients and visitors to meeting rooms.
• Facilitate beverage ordering and service for meetings and corporate events.
• Monitor pantry stock levels and ensure provisions are replenished as needed.
• Prepare conference rooms for meetings, including catering arrangements and beverage setup for functions or events.
• Address guest concerns, comments, and complaints with urgency and discretion.
• Liaise with vendors for equipment maintenance, catering orders, and pantry supplies.
• Prepare stock inventory and servicing reports for management review.

Job Requirements:

• Min 2 years of experience in Hospitality, F&B, or Customer Experience roles.
• Food Hygiene Certification preferred (training will be provided if not certified).
• Min Degree in Hospitality or a related field is an advantage but not required.
• Proficient in Microsoft Word and Excel

• Handle all human resource administration
• Manage administrative tasks to ensure effective, timely and responsible communication via Email, Wechat and Whatsapp, both to suppliers and customers and internally.
• To assist to develop and lead the team to maintain an efficient and effective ERP system for all departments and ensure all data & information are integrated and coordinated by the respective staff, to ensure all data, information and reports are complete, accurate, reliable and traceable at all times.
• Assist with liaising with banks, tax agents and auditors to ensure regulatory compliance
• Assist in shipping and freight and compliance documents to ensure all documents are accurate and complete, ensuring compliance and timely shipments for local and export
