Position: Customer Service & Admin Executive (Japanese speaking/Work in Japan)-CK (Job ID:19115)

Job Description

• Responsible for the effective management of daily bookings, client queries, client quotations, assistance in event planning and execution.
• Engage in active listening with callers, confirming or clarifying information and diffusing clients if needed.
• Implement solutions to execute client events, responsible for all aspects of ongoing event priorities.
• Ensure SLA’s are met in line with company expectations
• Ensure that all processes are being adhered in order to deliver the highest possible quality standards.
• Dealing with all feedbacks and reporting findings to reporting Manager.

Administrative

• Provide full administrative support to reporting Manager
• Assist and support in basic financial tasks, such as processing expense reports, issuing invoices in a timely manner
• Input accurate pricing using in-house system and relevant databases
• Checking pro forma invoices and exporting
• Dealing with invoice queries and review supplier anomalous invoices
• Assist in onboarding new employees by preparing workspaces and necessary

Job Requirement

• Preferably Degree holder or equivalent
• Prior experience in travel industry will be a value-add but not the primary criteria for selection of candidates
• 3+ years of experience in customer services or a related field
• Good project management skill and handle multi-tasks independently to meet tight deadlines
• Good computer knowledge (Word, Excel, PowerPoint and Word Processing)
• Proficiency in both Japanese and English to liaise with Japanese speaking clients in Japan

The role

• Plan, coordinate and launch surveys, ensuring they are completed with a high response rate and in a timely manner
• Provide regular updates of survey progress and survey statistics to senior management
• Conduct after-action reviews to improve processes and propose new initiatives
• Provide constant guidance and advice to survey supervisors and interviewers to ensure that the survey is conducted in a timely and reliable manner
• Coordinate with survey team to provide solution for escalated cases
• Multitask and prioritize due to the dynamics of the organization landscape and business needs

Requirements

• Qualification: Degree holder
• Ability to plan ahead and strategize
• Able to work independently, but also with various stakeholders
• Strong analytical skills, technically driven, problem solver, results-oriented
• Highlight gaps and propose alternative solutions to achieve outcomes and improve the current infrastructure
• Ability to translate complex concepts into actionable data and presentations
• Having experience in project management or customer-centric roles will be an advantage
• Programming/Coding knowledge is a plus (R, Python)
• Good system knowledge in Microsoft Excel, PowerPoint, Access, Power BI, Tableau
