The Office of Academic Services (OAS) plays a key role in advancing the University’s educational goals through implementing and administering the academic policies established by the University’s academic body. OAS provides academic services for students from the time of their matriculation to their graduation and are committed to integrity, strong governance, and high standards of professionalism in our work to establish success for all NTU students.
Being part of a team that manages students’ assessment, progression and award, the key responsibilities of the role are as follows:
Responsibilities
Custodian for assessment/result records for undergraduate students.
Coordinate within the office and with Schools/Colleges/Institutions to ensure timely and accurate capture of records arising from various activities according to timelines and guidelines set, as well as in compliance with policies and procedures.
Manage the examination system and mark entry system, and processes for undergraduate students.
Oversee the setup of relevant database for mark entry and marks processing, where students’ progress and performance are determined and captured at the end of every semester.
Provide advice to the Schools/Colleges/Institutions for special cases in compliance with policies and procedures, and ensure appropriate approvals are obtained for exceptional cases.
Manage the release of exam results, academic termination and related appeals, to ensure students receive their results according to the scheduled timeline and all appeals are properly handled.
Prepare examination statistics for reporting to the University management.
Supports data requests and gatekeeping, so as to ensure compliance with NTU student personal data protection and the Personal Data Protection Act (PDPA).
Work with system developers to ensure process and system readiness for new initiatives, updates of curriculum, process enhancement and automation.
Spearhead/Participate in cross-team projects within OAS and be a change agent in fostering the collaborative culture in OAS.
Requirements
Bachelor’s degree from a recognized university.
Minimum 3-5 years of supervisory experience, preferably in academic services in the tertiary education sector.
Proficient in office IT applications and Microsoft Office suite of application.
Working knowledge of SQL will be an added advantage.
Experience and exposure to Robotic Process Automation (RPA) will be an added advantage.
Analytical experience with data and information.
Experience in database and process management.
Good communication skills, able to express ideas clearly and concisely (written and verbal).
Good interpersonal skills, able to collaborate and engage with people at different levels of the organization.
Able to multi-task and work under pressure.
Meticulous and organized.
A strong team player with the ability to work independently.
