1. Administrative Support and Document Management:

• Provide comprehensive administrative support to the project team, including preparing documents, reports, and presentations.
• Maintain and manage accurate project documentation, including contracts, drawings, specifications, and correspondence.

• Track and maintain records of project changes, variations, and approvals.

2. Project Coordination:

• Assist the Project Manager and Project Engineers in planning and executing project activities according to timelines and budgets.
• Coordinate with clients, subcontractors, vendors, and internal teams to ensure smooth project execution.
• Monitor project progress and update project schedules to ensure timely completion.

3. Communication and Reporting:

• Facilitate effective communication among project stakeholders, including clients, team members, and management.
• Prepare and distribute regular project status reports and updates.
• Handle inquiries and provide timely responses to project-related questions.

4. Financial Coordination:

• Assist in tracking project budgets, expenses, and financial transactions.
• Prepare and process invoices, purchase orders, and expense reports.
• Assist in preparing financial reports and documentation for project reviews.

5. Quality Assurance and Compliance:

• Support the implementation of quality assurance procedures to ensure project deliverables meet company standards.
• Ensure compliance with industry regulations, safety standards, and company policies.
• Assist in conducting internal audits and inspections to maintain quality control.

Required Qualifications:

• Diploma or degree in Business Administration, Engineering, or a related field.
• Proven experience in project coordination or administration, preferably in the M&E or construction industry.
• Strong organizational and multitasking skills with a keen attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in MS Office (Word, Excel, PowerPoint) and project management software.
• Ability to work effectively in a fast-paced and dynamic environment.
• Knowledge of fire protection systems and industry standards is a plus.

Job Scope:

1) Maintenance of Field Instruments for multiple Process Plants.

Key Responsibilities:

· Responsible for managing Accounts Payable (AP), Accounts Receivable (AR), and General Ledger (GL) functions

· Prepare AR invoices, monthly debit and credit notes .

· Generate reports for management related to payable suppliers and prepare monthly bank reconciliation and financial statements

· Check and classify account codes in receipts and payment vouchers and prepare journal entries for non-cash items using Excel

· Prepare quarterly GST submissions, monthly cash flow statements, and monitor monthly stock balance and prepare stock ledgers

· Implement and execute departmental and organisational controls and procedures

· Instruct and process all marine industry sub-contract work

· Responsible in payroll processing.

· Perform and Handle tax clearance.

· Handle work pass application, renewal and cancellation and work pass related matters including tax clearance.

· Maintain and Update Employees Files and Record in Hr system.

· Handle and Resolve queries on payroll related matter.

· Communicate with shipyard and MOM to follow and to implement new measures on foreign workers.

Required Skills and Qualifications:

• Review, assess and maintain the Safety Data Sheets
• Ensure storage, movement, use, and disposal of hazardous substances and chemicals are well managed
• Ensure the register of hazardous substances is up to date
• Continuously review the emergency procedure and update.
• Manage and control situations arising during an emergency
• Plan and implement occupational health programs to protect workers from health hazards such as noise, dust, toxic gases, vapors and radiation
• Coordinate safety audit and ensure the closure of all findings
• Coordinate the preparation and submission of all required safety reports e.g. Integrated Management System (IMS) Quarterly report, Risk Assessment review
• Updates on codes of practice & safety literature and circulates information to each level of employees
• Monitor the Safety Performance of the project as set by the company policy and objectives e.g. Accident Frequency Rate (AFR), Accident Severity Rate (ASR) etc
• Person in charge of the workplace on environmental regulations pertaining to the Environmental Public Health (Registration of Environmental Control Officers) Regulations 1999
• Person in charge of the workplace implementation and revision of Environmental Management in the worksite
• Act as an Earth Control Measures Officer (ECMO)Ensure safety practices and housekeeping is to maintained to the highest standard

Requirements:-

• Must possess registered MOM WSH Officer license
• Min 3 years’ WSH Officer experience in Building projects

Responsibilities:

• To review, conduct incident / accident investigation and provide recommendations for countermeasures and to prevent recurrence of accident
• To coordinate of daily toolbox meeting and upkeep the records
• To conduct daily safety inspection and other type of safety inspection as required at work site
• To coordinate the immediate rectification of unsafe conditions and correct any safety malpractices on site
• Monitor and oversee the enforcement of In-house Rule and Regulation and ensure safe work practices on site
