Crewing Officer (Singapore)

Smit Lamnalco Crew Mgt. manages and employs around 1400 Seafarers across operations in various ports around the globe. This Position has shared responsibility for Africa operations and reports directly to the Group Crewing & HR Manager.

Responsibilities:

The role predominately supports in the recruitment and mobilisation / demobilsation of crew within the assigned region. Other duties include but not limited to:

• Verify documents, medical fitness and check references of new recruits to ensure compliance with STCW & SLIMS standards.
• Ensure the timely and complete provision of employment documents and information to crew.
• Arrange appointments for Crew inductions, simulator assessments and Marlin tests.
• Arrange and manage crew travel (mob- and demob) and all necessary administration and documents for on and off signing crew.
• Ensure that all stake holders (crew, agencies, Contract Managers) are informed accurately and timely regarding mob and demob of Crew.
• Provide, manage and interact with Contract Managers on up-dated Crew schedules.
• Maintain accurate records and data of crewing details and information in the SL Database (Shipmate).
• Ensure correct filing of all relevant flag state documents in Shipmate.
• Ensure the training and development of all crew is planned according to schedule.
• Monitor and follow up with the Contract Managers on outstanding appraisal forms.

• Identify any foreseeable risk arising from the workplace or work processes.
• Perform site safety & health audit, meeting and prepare reports for relevant parties.
• Create safety & health management programs and ensures effective implementation.
• Review workplace records, certificates, notices and documents and kept under the WSHA.

Requirements:

• Diploma in Workplace Safety & Health or equivalent
• Registered WSHO with ECO and ECMO
• At least 5 years of WSHO experience in LTA Projects.

Reception

• Receive documents at reception
• Open and record the documents in system
• Date and time stamp all documents
• Receive shareholders, technicians, courier, crown staff etc and attend to their queries.

Admin

• Ensure all documents received on a daily basis are delivered to the Teams’ trays timely.
• Coordinate with CAD on the department’s behalf, the collection and dispatch of documents to CDP, Agent Banks or clients.
• Promptly, accurately, professionally & courteously receive all telephone calls and enquiries and direct and/or relay and record messages accordingly.
• Maintaining of department’s spilt operations.
• Regular monitoring of “srsproxy” email and “srsclientservices” email
• Processing all proxy forms accordingly received by hand, mail and email into the proxy register on timely manner.
• Updates of meeting fees to Gemms for revenue monitoring
• Amendment / update of Admin SOPs.
• Sending daily REITs report to CDP.
• Monitor the transactions and prepare billing for SGX lodgement reports in intranet.
• Responsible for the retrieval, collection, reconciliation and conduct of periodic housekeeping of the document storage boxes (Crown boxes) that are stored at the warehouse
• Quarterly reconciliation of Crown and provide numbers to Finance for billing clients
• Daily receive BCAS cheques, open and record in spreadsheet. Pass to Finance on a weekly basis
• Request / Monitor and follow up on Agent Bank statistics
• Preparation of LOE/GTC for Docusign
• Monitor and order all stationeries for the department
• Reconciliation of cheques /share certs in secured room
