• Track and verify expenses, cash claims, and card usage submitted by outlet heads.

Requirements

• Diploma or Degree in Accounting or related field.
• 3-5 years’ experience managing full-spectrum accounts, preferably in F&B.
• Proficient in English and Mandarin to liaise with cross functional team.
• Meticulous, organized, and able to multi-task efficiently.
• Independent, collaborative, and a good team player.
• Proficient in Microsoft Office (Excel & Word).
• Familiarity with Xero accounting, Zealys payroll, ePOS systems, and credit card portals.
• 5-day work week, immediate or short-notice availability preferred.

Job Purpose

The HR Executive will support the Human Resources department in ensuring smooth HR operations, compliance with statutory requirements, and the development of people strategies aligned with the mission and values of the charity. This role plays a vital part in fostering an inclusive, positive workplace culture while managing the day-to-day HR functions to support the charity’s operational and strategic goals.

Key Responsibilities

1. Recruitment and OnboardingManage end-to-end recruitment processes, including advertising vacancies, screening candidates, scheduling interviews, and conducting reference checks.
   Coordinate onboarding programs to help new hires integrate into the organization seamlessly.
   
2. HR OperationsMaintain accurate and up-to-date employee records, ensuring compliance with confidentiality and data protection laws.
   Prepare HR reports, such as headcount, turnover, and leave utilization.
   Administer payroll inputs, benefits programs, and staff welfare initiatives.
   
3. Performance Management and DevelopmentSupport performance appraisal exercises and maintain training and development records.
   Coordinate employee training programs to enhance skills and build capacity in alignment with the charity’s mission.
   
4. Compliance and PoliciesEnsure compliance with employment laws, regulations, and charity-specific policies.
   Assist in developing and updating HR policies and procedures to reflect statutory and organizational requirements.
   
5. Employee Engagement and CulturePlan and execute employee engagement initiatives to promote morale and retention.
   Provide first-level support for employee relations, addressing concerns and escalating issues when necessary.

Qualifications and Skills

1. Education and ExperienceDiploma or Degree in Human Resource Management or related field.
   2-3 years of HR experience, preferably in a charity, non-profit, or community service setting.

   Proficient in Microsoft Office Suite and HRIS systems.
   Excellent organizational and multitasking skills.

To update payment received from clients and all supplier invoices.

To ensure that all Suppliers invoices are checked and purchase order matched before payments are made.

To prepare cheques for suppliers, expenses and petty cash reimbursement as and when required.

To generate creditor ageing report and provide up-to-date costing report for management review.

To assist in the preparation of monthly sales invoice

To ensure daily bank-in of all receipts and cheques promptly.

To update payment received from clients into the system promptly

To monitor debtors ageing closely, and ensure debts are collected promptly.

To generate debtors ageing report for management review.

To prepare and send the monthly statement of accounts to the clients.

To send reminder letter to long overdue customer for payment as and when required. To highlight and advice management of any doubtful debts.

To update payment received from clients and all supplier invoices.

To ensure that all Suppliers invoices are checked and purchase order matched before payments are made.

Assist in monthly financial reporting, closing and analysis for the company and jobsites.

To prepare year-end audit schedules & liaise with the auditor for the year-end audit.

Undertake any other ad-hoc projects

Re-assignment of duties is expected in due course at the discretion of the reporting manager

Requirements:-

Diploma in Accounting or related

Minimum 3 years of work experience

Experience in SAP will be preferred

Experience in Accounts payable preferred independent, hardworking, responsible and meticulous

Good interpersonal and negotiation skills
