We are looking for a highly experienced Executive Assistant to assist the Head of Singapore and Head Clients, Asia, Chief Risk Office, Asia and Head of P&C, Asia.
Responsibilities:
Support and assist the heads so that they can effectively achieve the key strategic objectives of their roles by:
- Providing secretarial and administrative support (business travel arrangements; scheduling of meetings and maintaining their calendars)
- Managing of Expense – submission of expense claims and pre-screening of staff claim submissions
- Coordinating of visitors' arrangement (prior their visit & during their visit) - smooth logistic arrangement for incoming guests including transportation & catering arrangement, meeting room bookings, access card application, itinerary preparation etc
- Managing external stakeholders and especially demonstrate absolute professionalism to any external contacts
- Building and fostering relationships with key stakeholder and client EAs
- Ensuring enquiries are dealt with in a professional and effective manner, though either personally handling enquiries or delegating them to an appropriate person
- Complying with all relevant internal operating and compliance policies and procedures (such as lodging of Entertainment Given/Received Declarations in the Gift & Entertainment Register)
- Assisting in organising events
- Undertaking any ad hoc task assigned by above as well as from Executive, Asia and COO, Asia
Head of Singapore Branch
- To support the Head of Singapore Branch in providing effective local governance and first line oversight of activities conducted within the Branch and operations in line with local regulatory authority through his roles as Chair of the Singapore Leadership Team and the Singapore Risk Management Committee by:
- Acting as the Committee Secretary for the Singapore Leadership Team monthly meetings and the Singapore Risk Management Committee quarterly meetings and assist with:
- Scheduling of the meetings and handling all the logistics and follow up required (such as calendar invites; preparation of agendas and liaising with submitters to receive their reports/papers within submission deadlines; collating and sending out the meeting pack)
- Following up on ad hoc requests from Risk colleagues and external auditor for SRMC charter, minutes and other documents
- To support the Head of Singapore Branch to increase employee engagement by:
- Acting as Coordinator for the Learn @ Lunch monthly sessions.
- Acting as Coordinator for the regular broadcasts on upcoming visitors to Singapore.
- To support the Head of Singapore Branch and Head of P&C Asia to increase employee engagement and promote staff welfare.

• 10+ years’ experience as Executive Secretary/Executive Assistant to Country and Regional Heads in the banking industry
