About The Role

As a Procurement Executive / Senior Executive in ALPS, you will be based in one of the 27 public healthcare institutions (PHI) in Singapore, you will be responsible for the Procurement and Contract Management services within the PHI. Responsibilities:

• Accounts Payable/Accounts Receivable
• Prepare monthly closing, audit schedule and aging reports
• Prepare subcontractors’ and suppliers’ payments
• Update bank balances and cash flow records
• Ad hoc tasks when required

Requirements:

• Minimum Diploma in Accounting
• 3 to 4 years of relevant experience
• Proficient in Excel and other Microsoft Office applications
• ACCPAC Window knowledge will be an advantage
• Able to start work immediately

1. Source for quotation for materials and services
2. Preparation of subcontractor’s/ supplier’s procurement and payments
3. Evaluation of price comparison and costing summary
4. Costing, estimation and measurement of quantities
5. Assist in project claims, variation orders & cost control
6. Material orders & project documentations.
7. Project administration
8. Ability to draw in AutoCad will be advantageous.
9. Liaise with sub-contractors and suppliers and coordination
10. Helping out in Accounts – Invoicing, Payments, Emailing Quotation, etc.
11. Office Administration – Ordering office and operational supplies, processing & filing of documents, Handles Incoming/outgoing correspondence effectively
12. Other adhoc duties assigned for time to time

• Organize and schedule meetings and calls across various time zones, coordinating the availability of both internal and external participants.
• Plan and book travel arrangements, including flights, hotels, cars, and trains, for trips within Asia and internationally (US, Europe, Middle East, and Asia), often involving multiple meetings or cities in one day.
• Process visa applications for different countries.
• Handle work permits and other status requirements for the team.
• Compile reports, presentations, and data, and maintain files, records, and correspondence for meetings.
• Ensure expense reports are submitted accurately and on time.
• Maintain and update contact information and business cards.
• Provide necessary administrative support.

Job Requirements:

• Minimum Diploma and above
• Minimum 3 years of relevant experience working in a Executive Assistant position
• Prior Sales support experience
