Corporate Event Executive

• Office Located Near to City Hall MRT
• Basic Salary: $2,500 - $3,500 + Incentives Below
• 13th Month Bonus, Variable Bonus & Commissions
• 5 Work Days Include Weekends, 8 Off Days Per Month
• Normal Working Hours: 9am-6pm
• Event Hours: 7am-4pm // 2pm-11pm

This role mainly handling sales & coordination of the venue on corporate events like dinner and dance (gala night, annual dinner or lunch), product launch (fashion show for jewelry or beauty brands), seminars, concerts and etc.

JOB REQUIREMENTS:

• Diploma Holder with at least 1 year experience in event / hotel boutique / sales / operations duties are preferred for this role.
• Those entry level with at least 6 months in event industry are welcome to apply too.
• Willing to work weekends & Public Holidays, off in lieu if working on PH.

JOB SCOPES

• Sales, marketing, coordination and operation of corporate event.
• Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
• Inspect event facilities to ensure that they conform to customer requirement
• Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security
• Arrange the availability of audio-visual equipment, transportation, displays, And other event needs
• Plan and develop programs, agendas, budgets, and service according to customer requirement

• Lead and Manage Customer Service Team (~ 15 to 20 members) under Assistant Customer Service Manager.
• Initiate and Manage Continuous Improvement Activities.
• Support data processing and analysis on inventory data / transaction data.
• To prepare relevant documents and participate in customer audit with operation team and quality team.
• To receive any escalations from existing customers; Conduct second-level fire-fighting upon receiving any complaints.
• Compile the relevant specification with operation team for any purchasing / sourcing.

• Attend to customer’s enquiries & complaints when required.

• Prepare meeting minutes and verify KPI report before presenting in monthly meeting with customer.
• Verify the billing summaries prepared by the Customer service officer.
• Verify the billing reports to our customers as well as service agreements.
• Keep any operational documents properly.
• Immediate reporting to direct superior upon any irregularities

Job Requirements:

• Proven experience in Customer Service or a customer facing role within a B2B.
• Analysis of customer requirements and discussion with the internal team.
• Mature, self-motivated and able to work independently.
• With 3 to 5 years experience as a warehouse customer service Executive under any global LSP companies.
• Basic knowledge / experiences on warehouse management systems and documentation.
• Able to speak, read and write English upon directly communicating with customers or / and appointed vendors.
• Experience on Documentation such as checklists, temperature / RH reports.
• Able to compile KPI reports periodically.
• Able to verify the billing reports to our customers as well as service agreements.

Contract Duration: 1 year contract

Duties and Responsibilities

• Ensure adherence to Service Level Agreements (SLAs), Standard Operating Procedures (SOP) and business continuity plans, surfacing gaps and incidences timely
• Manage the performance and maintain adequate governance oversight of the activities at the outsourced contact centre. Ensure that there are monthly meetings with the vendor to discuss their performance and bridge the gaps identified by customers/branches
• Handle escalated feedback and provide appropriate solutions in a timely manner
• Collaborate with internal and external stakeholders to resolve feedback and address operational challenges
• Foster a positive work environment and motivate the team to achieve and exceed organisation’s goals
• Establish individual and team goals and review team performance for continuous development
• Work actively with Service Culture to identify training gaps and update of information in the contact centre’s SOP to improve operational efficiency and enhance customer experience
• Conduct performance appraisals and provide constructive feedback to direct reports
• Compile and analyse data for management reporting

Requirements

• Degree in any discipline with a minimum 5 years of experience in retail, e-commerce or customer service industry
• Excellent interpersonal, written and communication skills to establish good customer relationship with both internal and external stakeholders
• Highly customer service-oriented, meticulous, and resourceful
• Strong analytical and problem-solving skills with the ability to work independently
• Strong leadership and adaptable to changes in a highly dynamic work environment

Good to have

• Preferably at least 3 years of supervisory role experience with excellent leadership record
• Working knowledge in systems such as SAP or Zendesk is an advantage
