Moral Welfare Home is a Welfare Home providing care and accommodation for residents with multiple disabilities (physically/ intellectually disabled, psychiatric illness). The Home is gazetted by the Ministry of Social and Family Development, who is providing funding for the residents, who are destitute and wards of the state.

About the Role

The Operations Executive manages the shift revolving around the daily care of residents. He/ She will be working with colleagues from multidisciplinary teams in ensuring that the well-being of residents is maintained and upheld morally and ethically. He/ She will ensure that all facilities are serviceable and operational procedures and conducted accordingly and properly. He/ She will uphold communication standards as a representative of the Home, in his/ her correspondence with external stakeholders.

Key Responsibilities

The duties and responsibilities of a Operations Executive are listed in the following, but not limited to:

• Aware and oversee all operational matters on shift, and ensure that matters are reported accordingly to supervisors (Senior Operations Executive, Assistant Manager, Assistant Superintendent)
• Maintain good housekeeping and conduct inspections to ensure that facilities are serviceable, and that all procedures are conducted timely and with standards
• Check on general cleanliness of Home within dormitories and toilets, and check general areas for mosquito breeding
• Work within the Operations Team on portfolios revolving around the upkeep of facilities and aspects of resident care
• Uphold communication standards in preparation of Incident Reports and email correspondences with external stakeholders (Public, Vendors, Kin, Governmental Bodies)
• Oversee and provide supervision for Junior Staff to ensure that the operational needs are met during shifts
• Maintain good working relationships with colleagues within a multidisciplinary team to address the needs of residents through a multidisciplinary approach
• Address the psychosocial needs of residents through care & counselling and behaviour modification efforts, in-line with the Case Management Team
• Any other duties as assigned by the Superintendent of the Home

Qualifications and Skills

• Minimally possess a degree in any field
• No experience required; fresh grads are welcome to apply
• Comfortable working with residents with multiple disabilities (physical, intellectual, psychiatric illness)
• Effective team player with good communication and interpersonal skills

Building, Facilities and Equipment Maintenance

Managing the maintenance of AWWA premises and equipment for AWWA wide services which includes:

• Planning, conducting periodic inspection and updating facilities’ records
• Ensure AWWA wide facilities are upkeep at all times
• Prepare and review specifications for the renewal of maintenance contracts or ad-hoc worksfor AWWA wide services
• Evaluating tenders/quotations and appointment of contractors for maintenance works
• Manage external vendors on repairs, preventive maintenance and A&A works
• Ensure all rectification and preventive maintenance works carried out by vendor are properlyexecuted and completed according to requirements and schedule
• Compile all defects and maintenance works’ documents e.g.warranties and drawings etc.
• Coordinating with internal staff and vendors on facilities, building and equipment issues
• Check and endorse delivery orders, service chits and invoices from vendors after work done
• Checking SOR and quality of works of Term Contractor for the assigned works and certifiescompletion of works and payments according to SOR
• Conduct first cut of checking and troubleshooting for any defects highlighted
• Assist in tabulating asset inventory list
• Responding to facilities related emergency calls after office hours
• Any other duties assigned by the Reporting Officer

Job Specifications

Minimum Education / Qualifications

• Diploma/ Degree in Building Services, Electrical or Mechanical Engineering, Project Management or equivalent
• Fire Safety Manager Certificate

Minimum Years of Relevant Experience

• At least 2 years of relevant working experience Knowledge/Skills
• · Sound technical knowledge and skills in building and M&E services.
• Good experience in managing projects, improvement, repair and maintenance works.

JOB PURPOSE

This role supports Financial operations activities within the Compensation & Benefits Regional Team (C&B) for the Fujifilm Business Innovation Asia Pacific (FBAP) office. The incumbent will work closely with FBAP Finance, FFAP Finance (as needed) teams, FBAP HR, Opcos HR and/or Finance teams, to ensure timely and accurate deliverables of all C&B and financial related activities.

RESPONSIBILITIES

This role is responsible for the following but not limited to:-

• Preparing and submitting all financial related activities, for FBAP on budgeting, costing, accruals, forecast (outlook), re-charging and reconciliation activities relating to manpower cost.
• Liaising and is the point of contact with Finance teams on manpower budget, costing, accruals, forecast (outlook) and re-charging activities.
• Working closely with Finance teams to deliver and ensure timelines relating to budget, costing, forecast, accruals and recharging processes, deliverables and timelines are met.
• Working closely with Finance teams on C&B payment transactions for reconciliation.
• Driving process harmonization, improvements to achieve simplification and efficiency.
• Driving governance of the C&B and financial related activities, to ensure compliance with ISMS and procurement requirements.
• Developing a tracking mechanism to ensure compliance with Legal, Procurement & ISMS requirements on C&B contract renewals, IDMP & PO/PR requiremen
• Handling, processing and tracking all C&B and financial related inter-company re-charging, purchase orders, invoices, and re-charging activities/documentations, ensuring they are billed by vendors on a timely manner.
• Developing and updating SOP on all C&B operational & financial related activities.
• Raising IDMP (internal decision making process) document, monitoring and tracking them, ensuring that IDMP is raised for all vendor service renewal
• Tracking and initiating benefits contract renewal, performing costing analysis, and liaising with vendors.
• Consolidating, analysing and submitting data for salary, benefits & government related surveys, as required.
• Consolidating, reviewing and submitting census data to benefits vendors, suppliers, as required.
• Gathering information/data and simulating manpower costing and resource planning
• Supporting in other Financial and C&B related work activities, as required.

The ideal candidate should have:

• Degree or Diploma holders
• Open to Fresh Gradates with finance related internship experience.
• Min 1 - 2 yrs Finance related experience. Experience in HR is a bonus.
• Must have knowledge on accounting terms and be numerical.
• Someone in HR with financial accounting experience is an advantage.
