Position: Finance Officer

• Work Location: near Macpherson MRT
• Working hours: Mon – Fri 9am – 6pm

Job Responsibility:
The Accounts and Finance Officer/ Executive will be responsible for managing day-to-day accounting functions, ensuring accurate financial reporting, and supporting the financial operations of the company. This role will include handling general ledger entries, financial reconciliation, managing fixed assets, and assisting with budgeting and forecasting.

Requirements:

• Minimum Diploma in Accountancy or its equivalent; ACCA or equivalent qualification will be added advantage.
• At least 2 years of related working experience, preferably in the airfreight and logistics industry. Candidates with more experience will be considered for the Executive position.
• Proficiency in financial accounting and reporting.
• Well versed in Microsoft Office applications (Word & Excel).

Key Responsibilities:

1. General Ledger Management:

• Maintain and update the general ledger with accurate and timely entries.
• Prepare and post journal entries, including accruals, prepayments, and adjustments.

2. Accounts Payable and Receivable:

• Process and manage accounts payable and receivable, ensuring timely payments and collections.
• Reconcile vendor statements and resolve any discrepancies promptly.

3. Financial Reporting:

• Assist in the preparation of monthly, quarterly, and annual financial statements.
• Support the preparation of management reports and variance analyses.

4. Fixed Asset Management:

• Maintain and update the fixed asset register, ensuring accurate recording of acquisitions, disposals, and depreciation.
• Conduct regular physical audits of fixed assets to ensure accuracy and compliance with company policies.
• Ensure compliance with relevant accounting standards and company policies for fixed asset management.

5. Bank Reconciliations:

• Perform monthly bank reconciliations and investigate and resolve any discrepancies.

6. Tax and Compliance:

• Support the preparation and submission of tax returns and statutory filings.
• Ensure compliance with relevant tax laws and regulations.

7. Audit Support:

• Assist in internal and external audits by providing necessary documentation and explanations.
• Implement and monitor internal controls to safeguard company assets and ensure accuracy in financial reporting.

8. Cash Flow Management:

• Monitor and manage cash flow to ensure the company can meet its financial obligations.
• Prepare cash flow forecasts to support financial planning.

9. Problem-Solving and Process Improvement:

• Identify areas for process improvement and implement solutions to enhance efficiency.
• Troubleshoot accounting issues and provide recommendations for resolution.

10. Follow-Up and Communication:

• Liaise with internal departments and external stakeholders to resolve financial discrepancies and follow up on outstanding items.
• Maintain clear and professional communication with vendors, customers, and team members.

RESPONSIBILITIES

Team Management and Leadership:

• Assist the Finance Manager to oversee and manage the finance team, fostering consistent and accurate financial management practices.

Funding Monitoring and Reconciliation:

• Maintain a consolidated funding schedule for all programs to provide a comprehensive overview of expected grant income.
• Conduct monthly reconciliations of funding receivables against quarterly grant claims to ensure accuracy and accountability.

Budget and cashflow Management:

• Drafting budget and monitoring of budget utilization.
• Manage and optimize cash flow and ensure effective donor fund utilization.

Reporting and Forecasting:

• Prepare monthly, quarterly and annual financial reports.

Accounting Functions:

• Perform a full spectrum of accounting functions in compliance with accounting standards and financial policies.

Auditing and Compliance:

• Ensure adherence to finance, audit and tax regulations

• Bachelor's degree in finance, Accounting, or related field (CPA or similar certification is a plus).
• At least 3-5 years of relevant experience in finance or accounting management, preferably in a non-profit or similar sector.
• Strong leadership and team management skills with the ability to mentor and develop team members.
• Excellent analytical and problem-solving abilities.
• Proficiency in financial software, especially Microsoft Business Central 365.
• Exceptional communication skills, both written and verbal.

• Drafting and assisting with legal documents, legal research or legal proposal.
• Monitoring and drafting of legal updates, business development and marketing efforts, including maintaining client lists and registers, sending of legal updates , event planning abd excutivion in resepct of seminars and updating of lawyer profiles and ranking lists.
• Management of deadlines and general support for all aspects of work
• Any other matters/projects that the management may require assistance with from time to time

Requirements:

• Diploma in Law/ Legal Studies
• Minimum 2 years of working experience in similar capacity
• Good command of English (verbal and written)
• Strong interpersonal skills, positive attitude and team spirit
• Good interpersonal and communications skills
• Able to work independently in a fast-paced environment.
• IT savvy, proficient in MS Office
