Scope of Works:

Reception:

• Cover front desk customer service duties for Primary School and MOE Kindergarten.
• Answer phone calls, attend to walk-in visitors, takes messages, responds to enquiries and provide general useful information (in a dynamic environment where high calls volume can be expected during peak hours).
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents.
• Handle daily varied demands and queries from parents/ students/ vendors/ staff etc.
• Render first level assistance to walk-in students’ needs including attending to sick and injured students, early dismissals. To escalate such cases to other colleagues in the office immediately if it is beyond superficial cases
• Handle/ support situation when student(s) vomited and soiled their clothes.
• Assist students in times of need, e.g. handling lost & found items, change of uniform, contacting teacher/ parent, locating classroom.
• Assist in receiving of goods and incoming mails.
• Maintain tidiness of the reception area at all times.

General Administration:

• Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students.
• Assist in the dissemination of information: school circulars, parents’ messages.
• Inventory management of spare uniforms and first aid items.
• Assist with the updating of Organisational Chart when new staff joins, or resigning staff leaves.
• Assist with updating the attendance system on a daily basis, using the IT-enabled system of attendance tracking.
• Any other duties assigned by School Leaders, Administrative Managers (AM) or Operation Managers (OM), including supporting school key personnel as assigned by the AM.

The appointee will support the Student Finance Team on student enrolment matters.

Responsibilities:-

• Verify and review finance documents and ensure that submissions are complete and accurate
• Follow-up with applicants on incomplete documents and outstanding payments
• Address to queries which may arise in the review
• Manage and maintain records and documents, including updating of records in student system
• Provide general administrative support to the Finance Department as needed

Exam Matters and Teaching Materials

• Prepare teaching resources for teachers and department heads
• Scan Optical Answer Sheets for P3 to P6 exams
• Check, count and sort report books according to class register numbers after exams

Other Duties

• Update P1 to P6 class allocation at the end of the year
• Print and check mass class allocation input
• Assist in pre-event duties for Prelims and PSLE duties such as putting up labels and seating plans in all classrooms
• Support in Prelims and PSLE duties as liaison officers on all days of examinations (Oral, Listening, Written)

• Collate and place food orders for all exam standardisation exercises during school examination periods (WA1, WA2, Prelims, SA2)

The successful applicants will work in the Operations Department – involve in the logistical functions for events and furniture movement, maintain the cleanliness of designated areas, work alongside other members of the school’s traffic control team ensuring the safety of users in the school grounds.

Key Responsibilities

1. Events

• Assist in setting up and tearing down staging/seating for events as required; and

• Assist the children in entering/alighting from vehicles at designated drop-off/pick-up points in the school; and

• To be conscious of safety when carrying out duties in all areas;
• To follow safe work procedure in manual handling, operation of machines, use of electrical tools; and
• Put on personal protective gear provided such as safety glasses, gloves, safety shoes, and water boots.

6. Organization

• To adhere to duties roster as scheduled by the line manager;
• Maintain orderly storage of furniture/equipment/event supplies for operational usage ready;
• Organize and look after areas and equipment;
• Report any organizational problems to the line manager or whomsoever delegated the responsibility as appropriate; and
• Required to put in overtime on a regular basis.

7. Communication

• Communicate regularly with line manager on any organizational issue;
• Communicate with users related to job requests; and
• Build a good working relationship with colleagues.

JOB TITLE: COACH (SOCIAL SERVICE ASSISTANT)

Objectives: The objective of PSGC is to provide trauma-informed care in a safe and nurturing environment to help the Children & Young Persons (CYPs) recover from their past traumatic experiences and promote their overall well-being.

Desired outcomes: The desired outcomes for the CYPs in the PSGC are as follows:

i. Safety from abuse and neglect while in care;

ii. Improved emotional and behavioural functioning in residential, school and family settings;

iii. Experience of stability while in care; and

iv. Reintegration with their families (or other appropriate permanency options, i.e. fostering, stepping down to main Home/other Homes) within 18 months of entry into the PSGC.

The Job:

1. Help create and maintain a child-centred, homely therapeutic community that is responsive to the developmental needs of clients, where clients are enabled to grow holistically, work towards emotional stability and develop their full potential.

2. Familiarise oneself with the background, treatment plan and daily progress of all clients and help implement their treatment plans.

3. Provide individualised care and supervision of 1 - 2 CYPs, supporting the Supervisor/ Social Worker/ Psychologist/ Head of Dept in the intervention programmes carried out in the residential, school and family settings.

4. Conduct one face-to-face session (at least ½ hour) with their assigned CYPs every week, using therapeutic approaches and other intervention strategies such as OT and Positive Behavioural Plans.

5. Carry out the daily operational duties and supervise clients in their regular activities such as having their meals, going to school or attending programmes run by the SGC, and participating in these activities with the clients where appropriate.

6. Assist clients with any difficulties related to day-to-day issues in the dorm, and ensure their welfare and safety

7. Promote discipline among the clients and be a mentor or role model to them.

8. Assess and respond to crises or conflicts (including using MAPA skills) and escalate to supervisor or deputy head of the home when needed.

9. Provide feedback to the Deputy Head and Social Worker on clients’ behaviours and compliance with activities that are part of their treatment plan.

10. Participate in shift-to-shift communication, which includes completing daily documentation, reading the logbook and providing important handover information to staff at the change of every shift.

11. Liaise with clients’ parents / family regarding day leave or home leave (in consultation with the case worker / social worker).

12. Plan, implement and evaluate programmes that will complement the therapeutic goals developed by the Social worker.

13. Carry out structured activities according the PSGC’s schedule.

14. Organise events and outings for the clients.

15. Look into volunteer recruitment, training and scheduling.

16. Form partnerships with external agencies and vendors on the provision of value-add services to the clients.

17. To perform other tasks as assigned by Deputy Head, PSGC.
