Summary:

• To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.
• Reporting and supporting the Executive Director and will work closely with and supporting the principal.
• Ideal candidate from trust consultancy firm, law firm, banking industry or accountancy firm.
• Preferred working experience as legal secretary, trust specialist, corporate secretary.
• Experience in handling trust administrative, legal documents or fund investment are highly preferred.
• Assist manager in going through legal documents from law firm and reply to outsource lawyer if have any omission.

Job Duties:

1. Assist in providing administrative support / services as well as solutions meeting the needs for the Company and the Group.
2. Assist in creating, formatting, and proofread documents, including letters, reports, memos, and presentations to ensure accuracy and professionalism in all written materials.
3. Transcript of voice recording of meetings / phone conferences.
4. Draft, review & comments emails / agreements / documents for Executive director’s consideration.
5. Comfortable to identifying and evaluating legal and compliance risks within the company and the group.
6. Monitor and report on regulatory changes and developments.
7. Record and monitor deadlines, update status and tracking internal database / reports of relevant tasks / project assigned.
8. Administer and maintain databases / files; renaming, reorganizing, and maintaining files, folders, documents, and internal database (spearhead converting largely to digitally).
9. Assist in office management.
10. Carry out other ad-hoc tasks / projects assigned by Executive Director

About the Role:

We are looking for a highly motivated individual to join a dynamic team as a Back-Office Fund Operations Assistant. This role offers the opportunity to work in a fast-paced environment, assisting with various back-office operations and supporting key administrative tasks. The ideal candidate should have strong attention to detail, proficiency in Microsoft Office (especially Excel), and a foundational understanding of financial operations.

Responsibilities:

Main Tasks:

• Trade Position and P&L Reconciliation: Assist in reconciling trade positions and profit/loss (P&L) reports to ensure accuracy in the financial records.
• PO and IPO Updates: Ensure proper documentation and tracking of purchase orders (PO) and initial public offerings (IPO).
• NAV Report Preparation: Prepare and update the Net Asset Value (NAV) report, ensuring all financial data is accurately captured and reported.
• Generate Estimated NAV: Assist in calculating and generating estimated NAV based on relevant data inputs.
• Stock Borrow, Shareholding, and Short Position Checks: Perform checks on stock borrow, large shareholdings, and short positions to ensure compliance and accuracy.
• FX Hedge Rollover or Adjustment: Assist in preparing and processing FX hedge rollovers or adjustments as needed to maintain accurate foreign exchange records.

Administrative Support:

• Expense Claims Preparation: Assist in the preparation and submission of expense claims, ensuring all necessary documentation is in order.
• Ad-hoc Duties: Support the team with any other administrative or operational tasks as assigned.

Requirements:

• At least 1 year of experience in back-office administration or operations within the banking, fund management, or brokerage industry.
• Solid experience or knowledge of preparing NAV reports and performing P&L reconciliation.
• Strong proficiency in Microsoft Excel (e.g., advanced functions such as VLOOKUP, pivot tables, and data analysis).
• A keen eye for numbers and a high level of accuracy in handling financial data and operations.

Advantageous:

• Japanese Language Skills: While not a requirement, proficiency in Japanese will be an advantage as it may be necessary for liaising with Japanese-speaking coworkers or clients.

Pre-operative Issues

1. Monitor closely pre-operative patients seen in the wards and clinics on the outcomes of decisions for surgery.
2. Equip patients and their families with all the information they need regarding patient’s diagnosis, need for intervention and possible outcomes as guided by the clinicians.
3. Assist in the education of:

• Pre-operative investigations
• ICU orientation
• Medications
• Financial counselling and admission procedures

1. Ensure all appropriate investigations ordered are carried out before any surgical intervention.
2. Facilitate smooth workflow between cardiac clinic, cardiac lab, OT, CTICU, ward and other hospitals
3. Ensure all patients scheduled for surgery are booked into Optimized Operating Theatre Scheduling (OOTS).
4. As a patient and family liaison, be contactable during office hours.

Post-operative Issues

1. Inform and update patients’ families on patients’ progress and be a liaison between primary care team and patients’ progress.
2. Assist nursing staff and related allied health professionals in educating and facilitating the clinicians care plan.
3. Ensure that follow up appointments and post[1]discharge medical instructions are well informed to patient and patients’ families.

Requirements

• Min Degree in Nursing
• Min 2 years of nursing experience
• Nurses who are keen in adminstrative duties are welcome to apply
• Exp in cardiac will be an advantage
