Job Summary:

The Executive Secretary & Personal Assistant will provide high-level administrative support to the Managing Director and ensure the smooth operation of the executive's office. This role combines the responsibilities of a secretary and a personal assistant, with additional tasks such as lead generation and ad hoc projects. The Executive Secretary & Personal Assistant will be the Managing Director's principal support, acting as the primary point of contact for everyone and spending 90% of their time with the Managing Director.

Responsibilities:

1. Executive Support: Manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements. Screen and handle all correspondence, emails, and phone calls on behalf of the Managing Director.
   Prepare and edit reports, presentations, and other documents as required.
   
2. Administrative and Clerical Tasks: Handle correspondence, such as emails, phone calls, and mail. Organize and maintain files, both physical and electronic. Ensure the confidentiality and security of sensitive information. Order and maintain office supplies.
   
3. Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items. Liaise with attendees to confirm meeting details and logistics.
   
4. Travel Arrangements: Coordinate and book travel, accommodation, and itineraries for business trips. Prepare travel expense reports and ensure all travel-related logistics are managed efficiently.
   
5. Communication Management: Act as the first point of contact for internal and external stakeholders, maintaining professional and effective communication.
   Handle confidential and sensitive information with discretion and maintain confidentiality.
   
6. Office Management: Manage and organize the office, ensuring it is tidy and well-organized. Maintain an efficient filing system, both electronic and physical, for easy access to documents. Coordinate maintenance and repairs of office equipment.
   
7. Project and Event Coordination: Assist with the planning and execution of special projects and initiatives led by the Managing Director. Conduct research and prepare briefs or reports on various topics as requested. Assist in the planning and coordination of corporate events, meetings, and functions attended by the Managing Director.
   
8. Liaison Role: Act as the primary point of contact for the Managing Director with all internal and external stakeholders. Ensure timely and accurate dissemination of information and follow-up on pending issues.
   
9. Lead Generation and Ad Hoc Tasks: Assist with lead generation activities, including researching potential clients and maintaining a database of leads.
   Handle additional tasks as needed, such as preparing marketing materials, assisting with social media management, or coordinating promotional activities.
   
10. Research and Analysis: Conduct market research to identify trends, competitor activities, and potential business opportunities. Analyze data and prepare reports to support business decisions.
    

Qualifications:

• Proven experience in an administrative or executive assistant role.

• Champion AI in Education: Lead the charge in crafting engaging outreach programs and workshops showcasing the potential of AI in teaching and learning. These programs bridge the gap for the NUS community, educating educators on this innovative technology.
• Documenting Impact: Spearhead research efforts, documenting compelling use cases for AI in education. This knowledge base not only educates the NUS community but also lays the groundwork for future development

- Synthesising Insights: In collaboration with AICET’s international collaborators, I will build upon their research on AI in Education in other countries and generate ideas and directions for the Singapore context.

- Scaling Innovation: Expanding the reach of existing programs, bringing the benefits of AI from NUS faculty to educators across Singapore. Refine pedagogical objectives, curate engaging content, and develop activities for a truly impactful learning experience.

- Empowering Educators with AI Tools: - Collaborative Frameworks: Develop practical frameworks, in partnership with Jonathan, to guide educators in adopting AI tools confidently. Work with educators to identify learning objectives, assess feasibility, understand their needs, and coordinate with the relevant parties to address those needs

2. Experimental Development: Product Management, User Research, Documentation

• User-Driven Solutions: Delve into user research, crafting surveys and facilitating focus groups to pinpoint specific educator pain points.

- Explore innovative approaches like AI-powered hackathons to crowdsource these challenges to identify the most promising concepts for further development, and to identify educators who might be willing to explore these ideas with us.

• Product Management: Translate user insights and pedagogical objectives into clear product visions and roadmaps.

- Oversee the entire product development process, from initial ideation and user research to launch and ongoing optimization through iterative development cycles.

- Ensure clear and comprehensive documentation is created alongside these tools, empowering educators with a seamless integration process.

3. Mentorship of Interns & Research Assistants: Fostering a Collaborative Environment

• Mentoring Potential: Play a pivotal role as a bridge between educators and SoC student developers.

- Ensure the students understand educators’ challenges and needs, allowing them to develop targeted prototypes that truly address the real learning needs.

- Provide support to resolve any workflow difficulties that may arise during the development process
