Job Description

The Customer Service Representative will:

· Maintain a friendly, neat, pleasant and professional image to guests

· Welcome and greets guests (by name if known) always in a warm and professional manner according to hotel standard.

· Perform check-in and check-out for hotel guests, room assignments according to guest preferences in an accurate, professional and efficient manner to create an unforgettable stay experience.

· Maintain effective communication within the Front Office department and other departments, especially Housekeeping to ensure seamless experiences for all guests

· Handle cashier duties in accordance to hotel Policy & Procedures

· Perform night audit function including date roll procedures and reconciliation of cashiering transactions

· To be kept informed of all functions, events, and promotions going on in the hotel and citywide.

· Address all residents’ concerns or complaints with the utmost urgency. Handle all residents’ queries and questions and avoid referring to other persons or departments unless otherwise necessary.

· Maintain the cleanliness and neatness of all work-related areas

· Work at different shifts that may be assigned based on operational necessities.

· Maintain confidentiality of guest and proprietary information

And the rest of the time, Customer Service Representative will

· Perform other duties and functions as may be assigned by the Duty Manager from time to time.

· Participate in any Front Office initiatives and projects.

· Perform any ad-hoc duties assigned.

· Requires to perform shift work and night shift.

KEY QUALIFICATIONS

· Minimum 'N' Levels or higher

· Qualifications in Hospitality Management from a recognized institution is an added advantage

· Minimum 1 to 2 years of relevant experience in front office preferred

· Good command of English is required; Additional language is an asset

· Ability to remain calm and courteous in demanding situations

· Capacity to read situations, understand environments and respond accordingly

· Someone who is a good team player, honest ,details oriented and good interpersonal

· Able to commit rotating shift work and night shifts.

Working days : 6 days

• 7:00am -3:00pm / 3:00pm -11:00pm / 11:00pm- -7:00am

Responsibilities & Duties :

• Serving food and beverages to customers.
• Taking customer orders ( Using Ipad ) and delivering food and beverages.
• Collect used dishes from tables and clean tables.
• General daily cleaning of dining area.
• Warm greeting of customer with big smile.
• Collection of Cash / CreditCard Payment.
• Check and ensure have sufficient stock ( ie : butter,bread,milk and etc )
• Other duties assigned by the management from time to time.

The Front Desk Executive serve as the point of contact between Tree Art and prospective customers. The incumbent identifies and educate prospective customers on the Company’s course curriculum and supports customers by providing information and assistance with closing.

Main Duties:

• Adminstrative duties in terms of Microsoft Office
• Familiarising with Tree Art curriculum and programmes.
• Identify and recommend on course curriculum that are tailored to customer’s needs and objectives.
• Liase closely with customers to address all course inquiries (ie; walk-in/online platforms) with closure.
• Coordinate with Centre Manager to ensure smooth process for customer registration and enrolment.
• Collect and review quality feedback from customers to improve sales.

Job Specification:

• Possess at least diploma in any field.
• Fresh graduates who are pro-active and sales driven are welcome to apply.
• Prior experience working in sales is an added advantage.

Working Hours (43 hours per work week):

Mon : off

Tuesday - Friday : 1.30pm - 7.30pm

Saturday and Sunday: 9.00am - 7.30pm

Front Desk Staff

Role Overview:
The primary responsibility of the Front Desk Staff is to deliver exceptional customer service while ensuring the seamless operation of front desk activities. This role requires a focus on patient satisfaction, operational efficiency, and effective communication.

Key Responsibilities:

• Reception and Patient Engagement: Warmly welcome patients upon arrival, handle check-ins, and manage initial inquiries, ensuring a positive first impression.
• Appointment Coordination: Schedule, confirm, and manage patient appointments, including cancellations and rescheduling, to maintain an efficient patient flow.
• Administrative Duties: Maintain accurate patient records, oversee daily cash flow, handle phone inquiries, and assist with general questions.
• Patient Assistance: Escort patients to treatment rooms, aid with registration forms, and address patient concerns to ensure a comfortable experience.
• Sales and Service Information: Provide patients with information about services without focusing on high-level sales targets.
• Objective: Facilitate a smooth clinic experience by overseeing essential operational tasks and enhancing patient satisfaction.

Additional Responsibilities:

• Patient Education: Offer clear, informative explanations of treatment benefits, package options, and how they align with patient needs.
• New Patient Conversion: Focus on converting first-time patients into loyal, long-term clients by offering personalized recommendations.
• Follow-Up and Retention: Conduct follow-up calls and check-ins to encourage return visits, keep patients informed of their progress, and discuss future treatment opportunities.

Responsibilities

• Process all guest check-ins by confirming reservations, assigning rooms, and issuing and activating room keys.
• Process all types of payment such as room charges, cash, checks, debit, or credit.
• Process all check-outs including resolving any late and disputed charges.
• Answer, record, and process all guest calls, messages, requests, questions, or concerns courteously and professionally.
• Coordinate with Housekeeping to track the readiness of rooms for check-in.
• Supply guests with directions and information regarding the property.
• Complete designated cashier and closing reports in the computer system.
• Balance and drop receipts according to accounting specifications.

Requirements

• 1 to 3 years of work experience in a similar capacity; relevant experience in a 5-star hotel is preferred.
• GCE N/O Levels or fresh graduates in Hospitality/ Tourism Management
• Intermediate computer literacy and knowledge of Microsoft Office applications
• Excellent communication and interpersonal skills (spoken, written and electronic)
• Demonstrate independence, responsibility and accountability
• Able to work rotating shifts including public holidays and weekends
• Basic computer skills, including Microsoft Office
