We are seeking a candidate to perform key administrative, secretarial, and coordination functions for the Group Chairman Medical Board Office (GCMBO). You will assist the manager(s) in their daily operations and provide administrative support for the Office. Additionally, you will work closely with colleagues from external departments, and other stakeholders to facilitate work processes integration, coordinate meetings, and plan and organise events or outreach activities.

You will provide general administrative support to the SingHealth Duke-NUS Disease Centres (SDDCs), such as coordinating work plans and combined meetings/retreats. Furthermore, you will provide secretarial support to the SingHealth Medical Board in cluster-wide medical manpower and in Junior Doctors’ activities/initiatives, as well as handle matters relating to business travel. Additionally, you will provide support in the implementation of new initiatives and projects.

• Diploma in any discipline with at least 6 years of working experience

Job Scope

Job Responsibilities 1. Housekeeping

• Perform housekeeping at pharmacy counters, tables, cashier counters, display shelves etc daily.

2. Inventory Management

• Receive and check that goods are delivered in good conditi on.
• Distribute pharmaceuti cal items to various secti ons, nursing stati ons etc and ensure properdocumentati on of all stock movements.
• Check and monitor pharmacy inventory.
• Top up of inventory according to expiry dates and to ensure stocks are in good conditi on.
• Record and dispose expired and deteriorated drugs.
• Ensure proper procedures for return of goods to vendors.
• Ensure stocks are kept under appropriate storage conditi ons.

• Pre-packing of tablets/ capsules and loti ons

The Executive will be responsible in the administrative, management and coordination of the clinical quality, patient safety, clinical risk, quality improvement programmes, and Healthcare Performance Office (HPO) activities across Yishun Health (YH). The Senior Executive will take on the supervisory role in guiding the junior Executive in CQPV activities.

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

1. Perform the administrative, management and coordination of the YH's patient safety, clinical risk, quality improvement programmes, and HPO activities such as mortality and morbidity review, clinical quality review, focused clinical audits, clinical indicators analysis and reporting, hospital incident reporting, serious reportable events (SRE) and patient safety walkabouts.

2. Identify clinical issues by various means, e. g., case review, incident reporting. clinical quality data analytics, which may require escalation and further investigations and subsequent recommendation development and implementation by working with relevant stakeholders to facilitate quality improvement initiatives in YH.

3. Collect, analyse and monitor the performance for clinical indicators of the hospital, committees, departments, HPO and provide updates to the relevant stakeholders in a timely manner. To integrate and provide data analytics for clearer oversight and support clinical decision-making capabilities to improve clinical care.

4. Provide secretariat support to YH Clinical Board and its Quality Assurance subcommittees, SRE committee and HPO Chair within YH. Work with relevant internal and external stakeholders to resolve these issues and ensure high standards of clinical practice. Manage the investigations with various departments and reporting of corrective actions and recommendations to Ministry of Health, when required.

5. Manage Patient Safety Collaboration Workgroup such as Speaking up for Safety and Implementing Reliability for Safer Healthcare. Point of contact for the Cognitive Institute.

6. Participate in clinical risk management programmes within YH

7. Support, coordinate and manage patient safety programmes and workshops, and engagement of the clinical quality initiatives, e. g., Human Factors Workshop for the optimal participation, Clinical Practice Improvement Programme, Harm Reduction Collaborative initiatives etc. across YH and National Healthcare Group to ensure sustainability.

8. Prepare annual Clinical Board paper and presentation related to the Quality Assurance subcommittees, when required.

9. Adopting best practices as well as collaborating with relevant external and internal stakeholders. Inculcate a culture of clinical quality and patient safety, which may include raising staff awareness of quality improvement initiatives.

10. Advance the profile of CQPV in the areas of quality improvement and patient safety across YH.

(B) GENERAL

1. Perform other duties as assigned by the Reporting Officer and Assistant Chairman Medical Board, CQPV.

2. Embrace continuous improvement as our way of life by improving and refining work performance on a daily basis.
