Summary

The HR Assistant Manager plays a pivotal role in supporting the Human Resources Director in developing and executing HR strategies, policies, and initiatives.

This role oversees key HR functions, including recruitment, employee engagement, compliance, and administrative operations.

The HR Assistant Manager ensures seamless HR service delivery while fostering a positive and compliant workplace culture.

Key Responsibilities

1. Recruitment and Talent Acquisition

- Manage the recruitment lifecycle, including job postings, candidate screening, interviews, and offer negotiations.

- Oversee onboarding activities, including orientation sessions, employment documentation, and induction programs.

- Regularly review and update job descriptions to align with organizational needs.

2. Employee Engagement and Relations

- Act as a trusted advisor for employee concerns, fostering a collaborative and supportive work environment.

- Implement employee engagement initiatives to enhance workplace satisfaction and productivity.

- Address grievances and escalate complex issues to the HR Director when necessary.

3. HR Operations and Administration

- Maintain accurate employee records and ensure compliance with legal and organizational requirements.

- Prepare and review reports related to attendance, leave, and payroll inputs.

- Oversee employee benefits administration, including insurance and claims processing.

4. Performance Management and Development

- Support performance appraisal cycles, ensuring timely feedback and documentation.

- Assist in planning and implementing training programs to upskill employees.

- Track and manage probationary periods and contract renewals.

5. Compliance and Policy Management

- Ensure compliance with labor laws, company policies, and regulatory requirements.

- Assist in drafting, updating, and communicating HR policies and procedures.

- Conduct audits of HR processes and records to maintain adherence to compliance standards.

6. Strategic and Administrative Support

- Coordinate and execute HR events, meetings, and workshops.

- Prepare presentations and reports for HR planning and strategy sessions.

- Collaborate with cross-functional teams to support organizational goals.

Requirements

- Bachelor’s degree in Human Resources, Business Administration, or a related field.

- 4-5 years of progressive HR experience, including supervisory responsibilities.

- Proficiency in HR software and systems is preferred.

About the role

• Provide professional advice on the interpretation of HR policies and procedures, employment legislation, performance management, recruitment and rewards strategies
• Partner with HR Centre of Excellence and relevant key stakeholders in the delivery of key HR projects such as performance management and promotional exercises
• Partner with the Management in analyzing and identifying issues and providing recommendations on HR solutions.

HR Policies, Processes and Systems

• Initiate improvements to internal HR processes, systems and communications towards enhancing service experience.
• Educate People Managers and employees on policy/system changes and implications, as well as understand and gather their feedback and input.

Operational Excellence and Support on Faculty Affairs

• Engage in manpower planning and projection of faculty and work with Finance Business Partners and HODs on manpower projections, budget and costings.
• Establish clear understanding of the recruitment needs and work closely with the Shared Services team and hiring managers to hire the appropriate talent on a timely basis
• Plan and manage faculty re-appointment, post-retirement, re-employment, Promotion and Tenure (PT) and Educator & Practice Track Promotion Exercise (EPPE) for various faculty tracks
• Assist in planning and implementing faculty performance appraisal exercise
• Support in the conceptualization and implementation of faculty development initiatives
• Manage onboarding and off-boarding matters
• Provide support on disciplinary or grievances matters
• Drive key employee initiatives such as awards and welfare matters
• Any other duties as assigned

Requirements

• Degree with minimum 3 years of relevant HR working experience
• Good knowledge of Employment Act and Work Pass regulations
• Able to multi-task and prioritize effectively
• Outstanding attention to detail, follow-up and organizational skills
• Good communication skills both written and verbal
• Able to build and maintain effective interpersonal relationships at all levels; handle sensitive matters with tact and discretion, while building trust and upholding confidentiality
• Proficient in MS Office Applications (Word, PowerPoint, Excel)
