• Manage spreadsheets and ensure data is regularly updated
• Handle billing, invoicing, and other financial tasks
• Prepare and process documents, reports, and correspondence as required
• Support with basic HR tasks such as maintaining employee records
• Assist in maintaining office supplies inventory and ordering as necessary
• Assist with basic accounting tasks using Xero accounting software
• Provide support with administrative tasks and ad-hoc duties as needed
• Liaise with internal and external parties for administrative matters

Job Requirements:

• Minimum qualification: O-Level or equivalent
• 1-2 years of administrative experience preferred
• Proficiency in Microsoft Excel is a must
• Experience with Xero or other accounting software is advantageous
• Strong organizational and time-management skills
• Fast and accurate in data entry tasks
• Knowledge of basic HR functions is a plus
• Preferably staying in the East for ease of commute
• Able to start immediately or with short notice
• Position is for Local & Singapore PR only.

Responsibilities

• Optimize business operations and oversee office supplies, equipment, and processes
• Ensure successful workflows, schedules, communications, and office environment on a daily basis
• Manage external vendors and resources, nurture client relationships, and ensure that best practices are upheld
• Open the office daily, greet visitors, answer and redirect phone calls, and manage email, regular mail, shipments, photocopying, and fax correspondence
• Prepare letters, reports, memoranda, tables, financial data, meeting minutes, forms, and similar material based on dictation, rough draft, and plain or corrected copy; review materials for accuracy and formatting; initiate non-disclosure agreements (NDAs)
• Assist staff members with coordination of schedules, appointments, daily operational tasks, and travel arrangements
• Establish and maintain record-keeping system for files, contacts, and employee directory
• Oversee office equipment and supplies, and initiate requisitions to replenish inventory
• Assist junior staff members with onboarding
• Perform a variety of clerical duties, such as responding to calls, emails, and requests
• Determine which issues require immediate attention, and communicate to leadership any deviations from standard operating procedures
• To keep track client’s meeting schedule and attend meeting if needed

Qualifications and Education Requirements

• A bachelor's degree in a relevant field such as Business Administration, Management or other related discipline is often preferred.
