Role

Roles & Responsibilities

HR cum Admin Responsibilities:

· Advertise, search and schedule candidates for interview

· Handling of administration and record-keeping documentation.

· Prepare employment contract

· Support daily administration / operations matters

· Prepare weekly Staff Attendance (Infotech system) for Monthly payroll and report

· Process MOM Work Passes (WP, S Pass, EP)

· Leave & Attendance records admin

· Other admin duties assigned by the Manager

Requirements:

· Minimum of 2 years’ experience in HR cum Admin.

• The Human Resource Manager will lead and direct the routine functions of the Human Resources (HR) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing company policies and practices.
• Partners with the leadership team to understand and execute the organization’s human resource and talent strategy particularly as it relates to current and future talent needs, recruiting, retention, and succession planning.
• Provides support and guidance to HR Team, Management, and other staff when complex, specialized, and sensitive questions and issues arise; may be required to administer and execute routine tasks in delicate circumstances such as providing reasonable accommodations, investigating allegations of wrongdoing, and terminations.
• Manages the talent acquisition process, which includes recruitment, interviewing, and hiring of qualified job applicants, particularly for managerial, exempt, and professional roles; collaborates with departmental managers to understand skills and competencies required for openings.
• Build and maintain good and close working relationships with partner companies, client companies, institutions, and government bodies in representation of company in manpower and related collaborations.
• Analyzes trends in compensation and benefits; researches and proposes competitive base and incentive pay programs to ensure the organization attracts and retains top talent.
• Maintains complete, up-to-date and timely relevant reports for both internal and external stakeholders.
• Creates learning and development programs and initiatives that provide internal development opportunities for employees.
• Oversees employee disciplinary meetings, terminations, and investigations.
• Maintains compliance with local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
• Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
• Any other appropriate duties and responsibilities as assigned.

Job Requirements

• Degree in human resource or related discipline.
• At least 5 years of general human resource management experience.
• Strong communications, writing and interpersonal skills.
• Good analytical skills and meticulous in nature.
• Able to multi-task and work under pressure.
• An analytical, hands-on team player with positive and mature thinking.

1. Office Administrative Duties

a. Office Maintenance: Ensure the office environment is well-maintained, including liaising with vendors for repairs and maintenance as needed.

b. Travel Arrangements: Assist in booking travel and accommodation for employees and management, ensuring all arrangements are made efficiently.

c. IT Support Coordination: Collaborate with the IT team or vendors to assist with basic IT-related tasks (e.g., troubleshooting office equipment).

d. Stationery Replenishment: Monitor and reorder office supplies such as stationery and pantry items, ensuring adequate stock levels.

e. Pantry and Lunch Arrangements: Assist in managing pantry supplies, organizing company lunches, and ensuring a comfortable break environment for employees.

f. Any ad hoc related task

2. HR Support Duties

a. Interview Scheduling: Assist in coordinating interview schedules between candidates and hiring managers, ensuring timely communication.

b. Training Liaison: Help organize internal and external training sessions, including liaising with trainers, booking venues, and managing participants.

c. Survey Form Management: Manage employee surveys, send out requests, and follow up with reminders to ensure timely submission and feedback.

d. Any ad hoc related task

Job Scope:-

= Must understand and follow up with all MOM rules and requirements for employment

= Must attend courses when required and feedback all MOM updated information to the company

= Work closely with employment agencies and source for good candidates when required

=Perform interview and select the right candidate for the company

= Keep record of staff leave etc.

= Handle all office purchases, like stationeries, pantry needs, etc.

= Ensure office cleaner does her job.
