Senior HR and Admin Executive

Working Hours: 9.00am – 6.30pm
Working Days: Monday – Friday
Basic Salary Range: $3500 - $4200
Location: Orchard - Ngee Ann City

Responsibilities:
• Provide full spectrum of HR and administrative support
• Assist in full-cycle recruitment from job posting, sourcing, interviewing, reference checks,
offer negotiation, contract signing and onboarding for new joins
• Coordinating the induction and orientation for new employees and handling exit clearance
procedures
• Maintain accurate HR database and up-to-date employee records
• Monitor and administer work pass application, renewal and cancellation related matters
• Draft and prepare letters when required (appointment, confirmation, increment and

• Perform leave administration and overtime computation
• Plan and manage training related matters
• General administrative duties including documentation, filing and updating of data
• Covering of reception duty as and when required
• Any ad-hoc duties as assigned

Requirements:
• Diploma in Business Studies/Administration/Management, Human Resource Management or equivalent.

Responsibilities:

• Prepare journals for accrual of crew wages and victualling, accrual and prepayment for insurance, lubricating oil ROB and any other journals. Ensure that reversal journals are raised where applicable.
• Check suppliers' invoices/credit notes.
• Check, verify portage bills and raise journals.
• Reconcile cash to Master, provision, slop chest and chat card Inventory as per portage bill against balance in general ledger.

• Compile and prepare Monthly Accounting Reports to Ship owners

• Monitor all Advance Accounts, follow up with relevant dept/person to obtain Actual Invoices/ AP Input to clear the advance.
• At the beginning of each financial year or for new vessel, update annual budget and prepare Fund Request Plan (if applicable).
• Any other ad-hoc duties as assigned from time to time.

Requirement:

• Diploma or Professional certification in business / accounting
• Min 1 – 3 years related working experience with general accounts knowledge will be an added advantage.
• Computer literate, independent, meticulous and work well under pressure
• Proactive and adaptable to fast pace environment
