HR Related
· Assist in preparation of Letters of Appointment
· Manage posting of recruitment ads and responses
· Maintain a casual staff database
· Assist in administration of internship programmes with educational institutions
· On-boarding of staff and part-timers
· Administration of HR related grants and incentives
Administrative
· Liaise with suppliers and service providers for office supplies
· Assist GM to source and/or renew insurance & public liability coverage for company
· Support the GM in preparation of reports and other correspondences
· Source and negotiate hotel room rates for guests, artists and media
· Submission of E-Notification of Work Pass Exempt Activity to MOM for overseas artis before event
· Assist GM with other administrative matters
Ticketing
- Set-up and lead ticketing for events as key contact for ticketing agents
- Support marketing team for administration of any promotions via ticketing platforms
- Prepare post-event ticketing reports
- Operate and manage ticketing front-of-house during events
- Manage ticketing inventory and guest list
- Act as the main point of contact for guests and event patrons to answer standard FAQs for events
Licence, Permits & Insurance
- Apply and process all necessary licence, permits & insurance for the Company’s events to meet event timelines
- Monitor and keep up-to-date with developments from select government agencies that may impact or benefit the company. (STB, NAC, NParks)
Grants
- Manage grant applications
- Work with GM to submit accounts and budget related reports for events, as well as compliance checks on finance matters for grants & subsidies
Sales & Ops
· Generate sales quotations and invoices
· Follow up with clients on required licences, permits, insurance and all necessary paperwork submission before venue handover to Venue Operations team
· Maintain and manage venue inventory
· Maintain database of stakeholders and venue access to external stakeholders as necessary
(SLA, URA, JTC, NParks, PUB, LTA etc.)
