Job Description:
- Assist in arrangements for meetings, events, and office gatherings.
- Support HR functions including recruitment, onboarding and offboarding, employee benefits & claims, leave management, training and payroll .
- Maintain and update employee records with attention to detail and discretion, ensuring data accuracy and compliance with PDPA.
- Oversee and ensure timely application and renewal of work passes.
- Update of work pass holder personal details to MOM, e.g. address, passport details, etc.
- Manage general administrative tasks such as attending to visitors, managing office supplies, inventory, equipment and oversee the maintenance of the office environment, ensuring that it is clean, organized, and conducive.
- Configure and setup end user machines such as desktops and laptops.
- Provide end user support to internal colleagues.
- Performs 1st tier basic IT support role to support end-users computing needs by adopting standard ITIL processes.
- Keeps track/monitor end-to-end change request (CR).
- Keep track of all end-user computing software licenses, assets inventory and accessories/peripherals.
- Other ad-hoc admin support to the HR & Admin Team as assigned.

Job Requirements:
- At least 1-2 years of experience in office administration or HR support roles.
- Strong knowledge of administrative processes and basic HR practices in Singapore.
- Knowledgeable in basic IT support is highly preferred.
- Excellent organizational and multitasking skills with attention to detail.
- Knowledge of Microsoft desktop operating systems and desktop software
- Excellent hardware and software problem solving skills
- Ability to seek solutions to problems using one’s own resources
- Must be able to travel island wide for business needs when requested

Key Responsibilities:

• Assist the Head of Human Resource in all daily tasks and matters in the Human Resource Department.

• Manage full spectrum of HR functions, including recruitment and orientation, training, payroll and IR8A submission, work pass and Man Year Entitlement application, dormitory arrangement, incident reporting, medical, insurance and work injury claims, employee profiles and leave management, overseas deployment, promotions and resignations.

Job Scope

• Lead and manage HR operational processes, including onboarding, employee lifecycle management, payroll, benefits administration, HRIS management, and compliance.
• Work with external vendor to develop, and manage employee welfare programs and events aimed at fostering a positive work environment
• To generate and provide reports to finance for payment processing on a monthly basis
• Improve productivity and processes by using data analytics and to support SOPs review
• Provide suggestions on work processes improvements and system enhancements
• Manage vendor and review claims reports submitted - Serve as the superuser for the newly introduced HR portal, ensuring smooth implementation, troubleshooting, and user support across the HR department

Requirements

• Minimum of 7 years of experience in HR operations, with at least 3 years in a managerial or leadership role.
• Minimum Bachelor's Degree in Human Resources Management with some relevant experience
• Possess strong knowledge of local Singapore Employment act and regulations
• Proficiency in MS Office
