Job Description:
- Oversee general office operations across all offices in the countries we operate
- Provide high quality and sustainable administrative support to all employees
- Welcome and coordinate arrival of visitors
- Develop and implement office administrative systems/procedures
- Carry out administrative activities and coordinate office administrative procedures
- Manage the front office operations including ordering all office supplies, pantry supplies and running errands
- Coordinate meetings, seminars, special projects, and all company events
- Maintain an adequate stock of office supplies
- Book flight tickets for staff travelling to other locations, and purchase travel insurance accordingly
- Record and process invoices, receipts, and payment processing
- Manages office services by organizing office operations and procedures, HR processes, controlling correspondence, reviewing and approving supply requisitions.
- Install and configure software and hardware
- Set up accounts and workstations.
- Develop expertise to train staff on new technologies
- Maintain an internal wiki with technical or people documentation, manuals and policies
People Admin Duties:
- Organize and coordinate engagement and team programs (teambuilding, parties, training, etc.) – this is essential in line with keeping our employees highly engaged and motivated
- Assist the People team with the administration of people processes (Onboarding, Learning and Development, Engagement, Administration)
- Support recruitment team for some roles
- Plan ahead with a social media calendar for online platforms and work closely with both internal and external stakeholders to build engaging content
- Responding to emails on behalf of the department
- Provide support in internal internet-based communication and any other duties as assigned.
