Job Duties:

• Manage the payroll system and performing payroll duties (1000+ headcounts), including identifying, verifying and resolving discrepancies for payroll
• Assist in the preparation and processing of monthly or payroll cycles as per company schedules, including income tax, reimbursements, CPF payments, and tax filings for both local and foreign employees
• Ensure timely submission of monthly CPF payments, tax filing for both local (Form IR8A) and foreign employees (Form IR21)
• Liaising with statutory bodies – IRAS, MOM, CPF, etc.
• Resolve payroll discrepancies and answer employees’ payroll-related inquiries
• Prepare and submit surveys (MOM, CPF, SNEF, IMDA, Department of Statistics Singapore, etc.)
• Handle government claims and grants (e.g. NS/ Maternity/ Paternity/ PSG, etc)
• Assist in the preparation of payroll reports for management and payroll audits.
• Conduct regular review on payroll and HR processes to ensure adherence to compliance standards
• Participating in continuous change management and payroll process streamlining
• Other ad-hoc duties as assigned
• Provide backup support for the Payroll Manager in their absence

Requirements:

• Diploma/ Degree in Business/HR or equivalent
• Minimum 5 - 7 years of relevant experience in for a fast-paced environment, handling high volume (min 500 Headcounts)
• Knowledge in Frontier e-HR System is an added advantage
• Good working knowledge of the Employment Act, CPF & IRAS statutory requirements
• Proficient in Microsoft Excel (Pivot table/Vlookup)
• Meticulous, organized and a team-player
• Good communication and interpersonal skills

Job scope:

• Bookkeeping & Small Practice Accounting (Accounting)
• Ensure matching procedure is in place for payments processing purposes
• Resolve all invoices discrepancies and respond to enquiries on payment status
• Monitor and prioritize invoices for urgent payments
• Ensure proper and timely settlement of all invoices from vendors.
• Ensure all fully paid invoices/documents are clearly marked as paid and filed in an orderly manner within the accounting system.
• In charge of month end posting for all payment entries
• Perform bank reconciliation after passing adjustment journal entry in system cash book
• Assist in preparation of audit schedules
• Compile all the Import clearance permits for GST filing purposes

Job Requirements

• Possess minimum a Diploma in Accounting

Purpose of the Job:

Support the Centre Manager in operational matters and take charge of administrative duties within the Active Ageing Centre.

Key responsibility areas:

• Proficient in office skills including documentation management, inventory checks, and housekeeping.
• Seeking purchasing approvals with documents and submissions.
• Prepare and submit reports, claims, documentation, and statistics to both internal and external stakeholders.
• Assist in preparing for audits, handling and resolving audit issues following operational practices and procedures.
• Generate invoices for various services.
• Collect payments and issue receipts to clients.
• Coordinate with contractors for repairs and maintenance of facilities and equipment.
• Liaise with donors and manage donated items.
• Support new project ventures and development initiatives.
• Maintain PDPA and centre operational matters in confidentiality.
• Perform any other duties as assigned by the Centre Manager or Management.

Required qualifications and experience:

• Minimum of an "A" level or Diploma in Administration, Business Studies, or a relevant field.
• At least 2 years of administrative or operations experience in the healthcare or senior care center setting preferred.
• Proficiency in MS Office applications such as Excel, Word, and PowerPoint.

Required Competencies:

• Good administrative skills and able to multi-task.
• Ability to handle ad-hoc operational works and projects with some level of complexity.
• Passionate to work with elderly and in community setting.
• Resourceful, proactive, responsible and client-centric attitude.
