Job Scope:
Human Resource Management

• Manage end-to-end recruitment, onboarding, and employee orientation.
• Foster a positive work culture, address grievances, and handle disciplinary actions.
• Ensure accurate payroll, benefits administration, and compliance with labor laws.
• Prepare and submit statutory claims and tax declarations.

Office Management

• Oversee daily office operations, manage supplies, and facilities.
• Coordinate with departments to improve efficiency and organize meetings/events.
• Ensure workplace safety, implement health protocols, and address emergencies.

ERP System and IT Support

• Monitor ERP system performance, ensure data integrity, and maintain functionality.

TITLE : Administrator – Human Resources & Administration

REPORTING TO : Senior Manager - Human Resources & Administration

COMPENSATION : S$10.00 – S$12.00 per hour

WORKING WITH : TVSM and TVSD Singapore

WORKING DAYS : 5 days work week; Mondays - Fridays

WORKING HOURS : 0830 hrs to 1730hrs

Job Summary:

The HR Admin will support the Human Resources department by managing and organizing employee personnel files (p-files), ensuring the accuracy of employee data, and assisting in the revamping of HR data management system. This role will involve significant interaction with employees to verify and collect necessary documentation, as well as performing internal audits of HR data.

Key Responsibilities:

1. Employee:P-Files Management:

• Organize and maintain accurate and up-to-date employee personnel files.
• Ensure that all required documents are filed correctly and are easily accessible.
• Verify the accuracy of employee data within p-files.

2. Data: Verification and Collection:

• Communicate with employees to verify the accuracy of their personal and employment data
• Collect any missing documents or information required for p-files.

3. SharePoint Data Revamp:

• Assist in the restructuring and updating of HR data on SharePoint.
• Ensure that all HR data on SharePoint is current and accurately reflects the latest information.
• Ensure all hard copy employee data are available on SharePoint

4. HR Employee Data Internal Audit:

• Conduct an internal audit of employee data to ensure compliance with company policies and regulations.
• Identify discrepancies and work with relevant parties to rectify any issues.

5. Administrative Support:

• Provide general administrative support to the HR department.
• Handle ad-hoc duties as assigned by the HR team.

Qualifications:

• Previous experience in an administrative or HR support role is preferred.
• Proficiency in Microsoft Office, especially Excel and SharePoint.
• Strong organizational skills with attention to detail.
• Excellent communication skills, both written and verbal.
• Ability to manage multiple tasks and meet deadlines.

Responsibility

• Understand the ERP product development process and assist in user requirement collection.

• Analyse customer development needs in the ERP system, and collaborate with developers and implementation consultants to ensure successful implementation.

• Prepare and maintain development solution documentation.

• Provide pre-sales support from a technical perspective, including product &technical solution proposals.

Requirements:

• Diploma or higher in a relevant field, preferably in Information Management, or a related discipline.

• Proficient in product planning and requirement analysis methods, tools, and skills.

• Familiarity with the ERP industry and products, especially in accounting.

• Strong business acumen, logical thinking, and analytical skills.

• Excellent communication skills in Mandarin and English, with the ability to interact effectively with Chinese counterparts.

• Capable of prioritizing tasks effectively during planning, design, and implementation phases.

4. Daily report to operations manager on the job site situation

5. Help operations manager and be the first contact person to handle any complaints and feedback from Clients.

6. Any other duties assigned by operations manager.

Job Requirements:

1. At least 2 years' experience in a similar role in the cleaning sector.

2. Hardworking attitude, able to work at height and move 20 Kgs of weight.

3. Able to work overtime including weekends and public holidays; willing to alternate between Night and Day shift when required.

4. Will and able to work at island-wide locations at short notice.

5. Able to use simple Office Software and willing to undertake paperwork duties as well.

6. Good attitude and hard work. Must be physically fit.
