Job Summary:

The IT & Facilities Executive will be responsible for overseeing and managing the company's IT Infrastructure, as well as ensuring the effective and efficient operation of the company’s facilities. This role requires a proactive and detail-oriented individual with a strong background in IT and facilities management.

Key Responsibilities:

IT Management:

· Manage and maintain IT infrastructure, including M365 administration, networks, and hardware.

· Provide technical support to end-users on various technical issues and problems relating to end-user devices (e.g., desktop/laptop computers, printers, scanners, mobile devices, videoconferencing equipment, projectors) and software such as Microsoft Office and emails.

· Setup and deploy new desktop / laptop computers and the associated software.

· Ensure data security and backup procedures are in place and functioning correctly.

· Manage IT projects, including system upgrades, installations, and migrations and future implementation.

· Coordinate with external vendors for IT-related matters.

· Maintain and up-keep IT equipment inventory and documentation, in compliance with IT policies and procedures. Responsible for hardware and software licensing and compliance.

· Track and manage the lifecycle of all IT assets.

· Conduct regular audits to ensure asset integrity and compliance with company policies.

· Perform other ad-hoc duties as assigned.

Facilities Management

· Oversee the maintenance and operation of office facilities and equipment.

· Handle facility-related emergencies and issues promptly.

Requirements:

Responsibilities

• Key member of IT Operations team that manages IT infrastructure and services, including end-user computing
• Manage and govern IT Infrastructure services provided by outsourcing partners and managed service providers as assigned including contracts and billing matters
• Manage or to be involved in Infra related projects and solutioning such as tech refresh, upgrades, migrations and building new IT Infrastructure capabilities
• Part of the IT Operations team to perform daily BAU tasks such as managing incidents, fulfilment of Service Requests, Change Requests and Application Support.
• Work with relevant department(s) and users to lead the IT DR coordination, recovery strategy, planning and execution.
• Assist with IT audit management and matters.
• Ensure delivery and solution complies with internal policies, procedures, standards, and compliance requirements.
• Contribute and document IT Ops procedures and standards as needed in knowledge base
• System and network patching, capacity and performance management
• Assess system performance and recommend improvements.

Skills / Experience

• At least 5 years of experience of strong hands-on technical experience in IT Infrastructure and IT Operations.
• Good understanding of key technologies adopted such as Microsoft Windows Server, Azure Cloud, End User Computing, Active Directory, Virtualization, Networking, Backup/Recovery and Security tools
• Work experience in FSI (Banking & Insurance) and knowledge in MAS Technology Risk Management (TRM) would be an advantage
• Relevant Professional Certifications (e.g. Microsoft, Azure Cloud, Networking, Security) would be advantageous.
• Proficiency in ITIL & ITSM. Some project management experience would be beneficial.
• Strong experience in managing internal stakeholders, end users and vendors.
• Good teamwork, problem-solving and analytical skills

Education Level

• Degree in Engineering/Business/Finance/Computer Science or equivalent

Responding to Service Requests, Incidents, and Trends

• Ensure that events and service requests are handled successfully and within the SLA (Service Level Agreement) by taking responsibility for them.
• Actively detect recurring problems or service hazards and assist in preventing them to enhance our internal procedures, operations, and customer service.
• Contribute expertise to the team and our self-service portals to aid in incident resolution.

IT Asset Management

• For smooth operations, make sure the projectors and other collaboration tools in the conference room are operating properly.
• Make that all devices are patched and running the most recent versions of the operating system; fix those that don't comply.
• To guarantee a smooth onboarding process, give new or transferred users phones, computers, and other required devices.
• Review IT asset stock levels on a regular basis to make sure the storeroom has enough supplies and to manage asset replacement.
• Oversee the lifecycle of IT assets, from acquisition to disposal, making sure that proper tracking and reporting are done.

Managing Vendors & Finances

• To get the best value for your money, get quotes, oversee the purchase, and invoice for IT equipment and licensing.
• Work together with suppliers to guarantee equipment delivery on schedule, and coordinate with the finance department to guarantee timely payment.

Qualifications:

• Outstanding ability to communicate in written and spoken English
• More than two years of experience in a Level 1 or Level 2 support position
• Excellent client focus identifies wants and comes up with solutions to satisfy them
• Familiarity with the Microsoft Office 365 Suite, specifically with Administration, Teams, Outlook, and Sharepoint
• Strong working familiarity with desktop and laptop hardware and support for Windows and Linux
• Familiarity with Endpoint Central and other IT asset management and automation tools
