Key Responsibilities

• Liaise closely with customers and operations team on order fulfillment, inventory & shipment related activities
• Working closely with operations team to provide information/ feedbacks to customers on operational issues and co-ordinate with customers to resolve all issues
• Generate KPIs and transactional reports to internal and external customers on a timely basis
• Verify vendor invoices and liaise with vendor for any discrepancies
• Monitor the usage of warehouse supplies and raise POs for replenishment
• Coordinate the urgent order fulfillment with customer, operations and transporter
• Ensure the accuracy and timely update of system transactions

We are looking for

• Diploma/Degree in Business Studies/Administration/Management, Logistics/Transportation or equivalent
• At least 2 years of relevant working experience in the logistics industry preferred
• Computer proficiency (MS Office – Word, Excel and Outlook) & Warehouse Management System (WMS) / Exceed System
• Good verbal and written communication skills, including ability to effectively communicate with internal and external customers
• Must be able to work as part of a team in a fast-paced, and pressured environment

Position Overview

The Project Administrator will be tasked to coordinate project activities, including simple tasks and larger plans. Responsibilities include preparing action plans, analyzing risks and opportunities and gathering necessary resources. For this role, he/she will work under supervision with a team of Project Managers and Workstream Leads, so good communication and collaboration skills are essential.

Role & Responsibilities

1. Manage and/or support common day-to-day activities across the workstreams including support and logistics of meetings and events
2. Maintain and provide guidance on project governance standards and guidelines
3. Drive deliverable management and gate closures across program
4. Support finance and procurement in invoicing and procurement if needed
5. Support project reporting in meeting coordination and preparation and minute taking
6. Drive vendor and internal delivery teams to adhere to project governance standards
7. Schedule regular meetings and record action items and decisions (e.g. assigned tasks and next steps)
8. Facilitate departments to load content on digital displays in innovation space through the use of digital content management system
9. Contribute to ideas, problem solving, and resolution of issues

Requirements

1. Minimum Diploma holder
2. Experience in office administration supporting multiple directors, project administration support function and calendar management.
3. Added advantage with secretariat experience with procurement and basic accounting knowledge.
4. Meticulous in planning, strong coordination skills, good communication (written and spoken) and following thru with actions and escalation.
5. Contributes to discussions and offers thoughts, suggestions, points of views during brainstorming, problem-solving, and issue resolution.

Key Responsibilities:

1. Procurement Management:Source and identify suppliers for construction materials, equipment, and services.
   Prepare Request for Quotations (RFQs) and evaluate vendor proposals.
   Negotiate pricing and terms with suppliers to ensure cost-effectiveness and quality compliance.
   Manage supplier contracts, monitor performance, and maintain strong vendor relationships.
   Oversee procurement processes, ensuring adherence to project timelines and budget constraints.
   Coordinate delivery schedules and handle logistics to meet project demands.
   
2. Compliance & Documentation:Maintain accurate records of procurement activities and ensure proper documentation for audits.
   Ensure compliance with company policies, regulatory standards, and ISO requirements.
   Liaise with project teams to align procurement activities with project specifications and goals.
   

Requirements:

• Education: Diploma/Degree in Quantity Surveying, Procurement, or a related field.
• Experience: At least 3-5 years of relevant experience in procurement and quantity surveying in the construction or engineering industry.
• Technical Skills: Proficient in contract administration, cost estimation, and negotiation techniques. Familiarity with tendering processes and construction methodologies.
• Software Proficiency: Knowledge of QS and procurement software (e.g., CostX, Buildsoft, SAP).
• Personal Attributes: Strong analytical skills, attention to detail, and the ability to manage multiple tasks effectively. Good interpersonal and communication skills.

Job Purpose

The Project Engineer ensures that all mechanical and electrical projects are completed successfully, meeting client requirements, safety standards and within the allocated budget and timeline. The project engineer is instrumental in coordinating all aspects of the project from planning to execution, to deliver a reliable and functional mechanical, electrical or a combination of both systems.

Responsibilities

1. Project Planning – The project engineer is involved in the planning phase of the projects, collaborating with other stakeholders to determine project scope, objectives, timelines and budget constraints. He/she work to understand the specific requirements of the project and create a comprehensive project plan.
2. Design and Engineering – The project engineer is responsible for collaborating with the design team or design vendor(s) to ensure that the designs are well-engineered and meet the necessary technical specifications. He/she needs to understand electrical drawings, circuit diagrams, piping & instrumentation diagrams and other technical documentation.
3. Procurement – The project engineer may e required to be involved in the procurement of necessary equipment, materials and components that are required for the project. He/she will have to ensure that the materials meet quality standards and are delivered on time to the work site.
4. Safety and Compliance – Safety is of utmost importance for Donjon Pte Ltd. The project engineer ensures that all work is carried out following safety regulations and industry best practices. They also ensure that the work complies with relevant codes and standards.
5. Resource Management – The project engineer is responsible for coordinating resources, including general labour, equipment and subcontractors to ensure smooth project execution. He/she will be required to handle scheduling and resource allocation to meet project deadlines.
6. Quality Control – Throughout the project, the project engineer monitors the quality of work being done, conducts inspections and ensures that the work meet the required quality standards.
7. Problem Solving – In the course of the project(s), unexpected challenges and issues may arise. The project engineer plays a crucial role in identifying and resolving these problems to keep the project on track.
8. Communication – The project engineer serves as a point of contact between various stakeholders, including clients, project managers/director, contractors and the engineering team. They provide regular updates on project progress, address concerns and facilitate effective communication.
9. Documentation – Keeping detailed records and documentation of the project’s progress is essential. The project engineer maintains accurate documentation including reports, drawings, change orders and other relevant paperwork. He/she will also have to ensure that project charges are correctly represented for accounting’s closing process.

Person Specification/Job Requirements

• Diploma/ Degree in Electrical/ Mechanical Engineering or equivalent
• At least 2 years of experience in M&E projects or equivalent
• Knowledge of applicable engineering theory, methods and practices.
• Knowledge of relevant quality standards, installation codes and best practices would be an added advantage
• Capable of using computer assisted engineering and design software and equipment to prepare engineering and design documents would be an added advantage
• Ability to communicate effectively.
• Ability to oversee the work of technical and skilled-trade subordinates or contractors
• Ability to handle multiple priorities, stress, detailed work, reasoning, deadlines. Must be flexible, analytical, and posses excellent communication and interpersonal skills. Will be interacting with multiple stakeholders and working independently.
• The person is expected to be flexible including working outside of normal work hours and weekend working on occasions when required.
• Able to commute reliably to office or project site(s). Possession of a class 3 license would be an added advantage.
